Position: Part-Time Executive Administrative Assistant – 20 - 30 Hours/Week

Oakwood Wealth Partners is a Multigenerational Financial Planning Practice with a team approach to our holistic planning. Our office is located near the Spectrum Center in Irvine, California. Our group takes great pride in seeing our clients grow to and through retirement. While our focus started in healthcare and governmental employees, our practice has continued to grow over the last 20+ years by our client referrals.
As a Financial Planner Executive Assistant, you will be supporting Oakwood Wealth Partner’s founder. As a right hand to the Wealth Advisor, you will wear many hats and will interact with all members of the staff as well as the firm’s clients. This position is part-time, 20 – 30 hours per week, with a flexible schedule to be determined.

YOUR RESPONSIBILITIES:
- Help to manage the Advisor’s calendar (Clients, Internal Staff, Travel, etc.)
- Be the internal guru of our team’s CRM system; making sure it is fully utilized, compliant, automated, and current (we use RedTail). Train on best practices where needed
- Work with specialists to streamline and simplify our technology tools
- Assure that key processes within the firm are documented
- Manage firm-wide projects (such as a call project)
- Manage equipment purchases and maintenance
- Assure that our facilities represent the professionalism of our firm
- Be the administrator for our office facilities, including keys, phones, janitorial crew, mail distribution, and supplies
- Act as a back-up for our Marketing Coordinator
OUR REQUIREMENTS:
- An Associate’s degree is preferred
- 2 or more years of experience as an Executive Assistant or Senior Administrative Assistant*
- 4 or more years of experience in an administrative/professional office setting
- Must be tech savvy. We require 5 years of experience with Microsoft Office and prefer experience with CRM systems
- Strong command of the English language, both verbal and written
*Prior experience in hospitality or high-level client service would be a plus!
Employment is conditional upon passing FBI background check and a credit check.
