Parish Administrator Job Description

This part-time position (12-15 hours per week, flex hours) supports the priest and Vestry in the administration of the parish, as well as light bookkeeping, working with the bookkeeper, accountant, organist, property manager, and parishioners. Discretion and confidentiality are imperative due to the nature of conversations which may involve personal and pastoral issues. Training will be provided regarding all basic bookkeeping skills required which include writing checks, recording deposits, and generating quarterly statements using Church Windows software.

Understanding of the Church, especially the Episcopal Church is desirable.

Hourly pay commensurate with experience and skills.

Skills Required

  • Experience as Administrative Assistant.
  • Proficient in computer skills using Windows including MS Office (Word, Excel), Google (Docs, Sheets, Slides), Signup Genius, Wix (website) software, Facebook, Instagram, and Church Windows.
  • Knowledge of office machines, copier, printers
  • Strong integrity, honesty, and confidentiality
  • Demonstrated leadership - proven ability to manage/supervise others
  • Strong oral, written, verbal, and interpersonal communication
  • Ability to prioritize and respond in a timely way to multiple requests
  • Ability to take initiative and make decisions under pressure
  • Ability to work with parishioners with diverse personalities and differing opinions

Specific Duties:

  • Prepare and print weekly and special bulletins - main priority
  • Communicate with priest for bulletin changes, announcements, and yearly SOP; and music director for weekly hymns
  • Oversee and maintain parish website
  • Coordinate social media; post to Facebook, and Instagram
  • Advertising for parish events and Holy days in online papers
  • Create signups on Signup Genius and for bulletin board
  • Schedule volunteers for service
  • Maintain spreadsheet of parishioners and vendors maintenance
  • Maintain Parish Directory
  • Report employee hours, deposit and payment reports, purchase receipts to the bookkeeper
  • Coordinates with property manager for maintenance or requests that need to be completed
  • Compile and produce annual report
  • Assist to complete the annual Diocesan Parochial Report
  • Purchase supplies for church office
  • Order flowers for Easter and Christmas
  • Place Altar Flower dedications on bulletin board in bulletin, and make sure flowers are purchased.
  • Communicates with daycare any issues that arise.
  • Oversee rental of the church
  • Maintain Memorial Garden Records
  • Assist Community Garden coordinators with yearly contracts and purchases.
