Position Summary:

Reporting to the Manager, Order Management & Distribution Planning, the Order Management Representative serves as the primary contact between HLF Supply Chain and our customers’ replenishment managers

Essential Duties and Responsibilities:

  • Responsible for managing the relationship with customer replenishment to include processing orders, prompt resolution of any issues which may arise (coordinating solutions/communications with sales team), and works to strengthen HLF’s relationship with regular communication
    • This position resides in both US and Canada, and the position reports directly to either the Supervisor, Order Mgmt. & Distribution Planning or Manager.
  • Identifies and implements creative solutions to resolve issues which may negatively impact any aspect of the order to delivery cycle
  • Assure attainment of 99% fill-rate of customer orders through continuous monitoring of inventory levels that require distribution or re-distribution and/or coordination with warehouses on order priority.
  • Work with Master Scheduling on Production prioritization.
  • Work closely with the Warehouse and Logistics Operation teams to ensure all steps are taken to fill orders and make on-time deliveries.
  • Work with International Logistics/Procurement to re-direct containers for optimized inbound timing.
  • Monitor all inbound customer orders to ensure accurate pricing in order to keep deductions to a minimum.
  • Communicate with Customers regarding all inventory/delivery problems to ensure good relations.
    • Act as a liaison between the customer, Sales, Logistics, and Warehousing teams to facilitate successful order processing and fulfilment.
  • Assure accuracy in JD Edwards Enterprise One Price and Adjustment Schedule in coordination with HLF Pricing.
    • Collaborate with the HLF Pricing team to ensure prompt processing of Sales Orders with regards to accurate pricing.
  • Proactively research and communicate fulfillment issues with the customer and work with them to find an acceptable alternative solution e.g. inventory substitution, order date change, or other means as agreed to.
  • Make recommendations to Sales Operations as well as Sales Planning groups to inform of any inventory or demand fluctuations not otherwise accounted for in the system.
  • Support Sales, Treasury, and Master Data Management to ensure new and current customers have accurate account information in Enterprise One’s Address Book and Who’s Who.
  • Understands and maintains knowledge of all internal and customer software applications, policies, and procedures to insure best in class order fulfilment and policy adherence e.g. Walmart’s RetailLink, GRS, and HLF’s PRISM

Qualifications:

  • In-depth knowledge of Supply Chain Operations, Logistics and Warehouse systems and processes, Customer Service processes and the ability to analyze and reconcile Third Party Warehouse inventory and/or Sales Order discrepancies.
  • Proficiency in maximizing utilization of ERP systems, preferably as a “Power User” of a major systems application such as JD Edwards, Oracle, SAP etc.
  • Strong communication and inter-personal skills
  • APICS certification preferred
  • Ability to collaborate with IT on enhancements or problems with the ERP system application and/or request reports and modifications necessary to improve the operation or correct issues.
  • Familiarity with Warehouse and/or Transportation Management Systems and understanding of how to leverage it to benefit the operation. Understands and utilizes fundamental process developing techniques to improve efficiencies and productivity
  • Proficiency in personal computer-based software (Microsoft Office 365, Reports Now, Halo Prism etc.) for performing analysis and reporting results.
  • Preferred 5 years combined experience in supply chain, preferably in the areas of Logistics or Customer Service-related operations. Experience in the areas of Inventory Analysis, Inventory Control, Warehousing, Transportation is valuable
  • Excellent attention to detail. Excellent written and verbal communication skills.
  • Effectively utilizes metrics to drive results
  • Ability to “think on your feet” and manage multiple tasks.
  • Ability to lead by example and build a strong team environment
  • Bachelor’s degree required and/or equivalent experience in Supply Chain Operations or related areas.
