Job Summary:
Aegis Processing is searching for a Operations Manager for our night shift! Aegis Processing Solutions is one of the nation’s largest full-service direct response processing and fulfillment companies. Our high-tech/high-touch solutions improve the speed, accuracy, efficiency, and security of your back-end operations while helping our clients build stronger relationships with their donors and customers. The operations manager oversees the nightly operations to direct activities of the Company’s operations, leadership, business fundamentals, and practices across the structure. They are responsible for workflow for client, contact with clients, and handles all processing for their clients.
Supervisory Responsibilities:

  • Directly supervises operations/ production personnel, and processes.
  • Carries out supervisory responsibilities in accordance with the organization's policies. Training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
  • Trains and keeps assistant managers and employees up to Date with client rules, and procedures for processing their clients.
  • Evaluates personnel as needed, Error Training Reports, Incident reports, and Performance reviews.
  • Trains employees on Kronos system, logging on, tracking time, requesting time off, and direct deposit.

Duties/Responsibilities:
Opening Department

  • Make sure all mail is sorted and counted correctly
  • Ensure opening machines are running efficiently and cut in the order it should be processed.
  • Provides directions and training on client rules for processing.
  • Ensures processing clients is completed in a timely manner.
  • Interdepartmental Workflow
  • Communicates with Manager as to workflow, issues, and backlog.
  • Communicates with service provider about any issues with machines.
  • Schedules service calls as needed.

Processing

  • Makes sure data prep is correct, and complete, following batches as needed.
  • Manages cash processing
  • Sorts work to be sent back to client
  • Make sure scanners are scanning priority first and correctly, Training when needed

Data Entry Department

  • Sort data entry work in the order it should be processed
  • Provides directions for processing clients
  • Ensures processing all clients is completed in a timely manner
  • Interdepartmental Workflow
  • Communicates with Manager as to workflow, issues, and backlog
  • Communicates with IT manager about computer and scanline systems
  • Data Processing
  • Makes data entry corrections, following batches as needed.
  • Assists with end of day balancing
  • Sorts work to be sent back to client

Education and Experience:

  • Bachelor’s degree OR equivalent work experience.
  • 2 years of business management experience
  • 2 years of people/time management experience
  • Advanced computer skills including Microsoft Office, particularly Excel and Word.
  • Proficient use and knowledge of fundraising/CRM systems.
  • Exceptional customer service etiquette and written/oral communications skills.
  • Highly organized and acute attention to detail, accuracy, and follow through.
  • Problem solving and dispute resolution skills.
  • Experience managing vendors.
  • Team player who actively contributes to group, complete tasks, and meets goals.

Physical Requirements:

  • Time at a desk 50%, on their feet 40%, driving a vehicle 10%
  • 10lbs lifting requirement.
  • Some travel may be required.
