Brown & Brown is seeking an Operations Manager for our team in Las Vegas, Nevada!
WHAT YOU’LL DO:
- Responsibilities include administrative duties as well as other complex assignments such as maintaining company organizational charts, coordinating the learning management system, creating forms and keeping the VP of HR up to date on office activities/issues.
- Serve as the intermediary between leadership staff and internal/external clients.
- Responsible for all aspects of building including maintenance needs, emergency contacts, and liaison with landlord.
- Type and produce reports, memos, letters and documentation using MS Word and other relevant software – record, type and distribute meeting minutes.
- Maintain internal office systems – office intranet, electronic signage.
- Work closely with Team Resources and IT to ensure new employees have all equipment and access required. Assist with coordination of equipment return.
- Create presentations, arrange meetings, appointments and make travel arrangements together with maintaining calendars and providing reminders.
- Manage and review all security systems. Create and distribute company ID badges, assign security clearance, review surveillance footage as needed, assign building security codes and be the emergency contact for any onsite incidents.
- Point of contact for any incoming visitors via remote monitor and determine whether they should be given access to specific individuals. Also work with outside vendors to provide services to the office (e.g. Cintas, coffee supplies etc.)
- Read and analyze incoming memos, submissions and reports to successfully determine their significance and plan their distribution.
- Arrange and facilitate office events including client visits, office parties, company-wide meals and other “fun” events.
- General office duties that include; monitoring & ordering supplies, maintaining records in relevant database systems and ordering facilities maintenance as needed, stocking coffee and other kitchen supplies, ordering meals for internal meetings and arranging for any external meeting functions.
- Other duties as assigned
WHAT YOU’LL NEED:
- Minimum 5 years of successful proven experience as an Office Manager, Executive Assistant or similar position.
- Advanced knowledge & experience working with MS Office, including Word, Excel, PowerPoint and MS Outlook.
- Excellent verbal and written communication skills including professional business writing and grammar.
- Proven successful track-record in time management, planning, multi-tasking and prioritizing daily workload.
- Must possess a sense of urgency, discretion, and confidentiality – able to work independently.
- Bachelor’s degree preferred, High School Diploma required.
