Title: Operations Coordinator
Report To: Operations Manager
FLSA Status: Non- exempt
Summary: The Operations Coordinator will assist in the day to day running of the IPA Operations Department and will be responsible for physician contract workflow, website oversight, updating and maintaining physician directories, event planning, generating physician reports, supporting the Operations team, keeping the department organized, and assisting with special projects as requested.

Duties and Responsibilities: Include but are not limited to:
- Coordination and management of managed care physician contracts including preparing packets for loading to health plans, contacting physicians for missing materials, reviewing contracts for completeness, routing to internal sources, and providing a copy back to the affiliate physician’s office.
- Pulling web-based physician reports and formatting in Excel for distribution.
- Maintaining physician directories with current information in Excel and distributing to internal resources on a monthly basis.
- Providing customer service concerning IPA and Health Plan issues to primary care offices via phone and e-mail.
- Managing IPA website including working with website vendor to load new materials to site, assisting offices with getting signed up for site, educating offices on how to use the site, managing relationship with web vendor and working with other IPA departments’ to educate them on the website and help load their materials.
- Assists with planning IPA physician meetings and other IPA events.
- Supporting the Operations Manager as necessary which may include, but not be limited to scheduling appointments, writing letters, filing, securing documents from physician offices and health plans, ordering supplies, and preparing materials for upcoming events and visits.
- Working on and managing special projects for the IPA and Health Plans as theneed arises including annual contracting and directory update projects.
Education and Experience:
High School Diploma required, 2 year college degree preferred
Job experience that shows progressive growth.
2 years experience in an administrative support role is preferred
Knowledge of HEDIS, MRA and Medicare Advantage plans
Experience in high stress situations that require detail oriented though process and multi-tasking.
Language Ability:
Must speak English
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals and the ability to write routine reports and correspondence. Ability to speak on phone and in person to Primary Care Physician office staff, doctors, and other departments within the company.
Computer Skills Required:
Microsoft Word, Excel (intermediate level or above), Outlook, PowerPoint
Computer Skills Preferred:
Web Site Management, Database Queries, Accureports, Health Plan Portal knowledge (Freedom, Optimum, Wellcare, Humana, Ultimate, Coventry)
Work Environment:
Office Setting, occasionally will need to run errands or attend outside of the office events.
Travel Requirements: The employee is constantly required to drive up to 25 miles and frequently up to 100 miles in order to carry out their duties. Occasionally the employee will be required to drive over 100 miles, including for overnight or out of town travel.
Job Type: Full-time
Pay: $15.00 - $18.00 per hour
