Operations Coordinator Job at Gateway Church

Summary of Position
The primary purpose of this position is to coordinate facility management, operational services, and campus safety for Gateway South Austin. This position is part time, non-exempt, 20 hours a week.
Facility Maintenance Primary Functions
GENERAL MAINTENANCE:
- Ensure the overall proper maintenance of campus facilities and grounds determining what facility maintenance can be done by self, volunteers, or by vendors.
- Manage and maintain all campus facility systems, be it HVAC, electric, plumbing, fire/security, lighting, general construction, etc., along with the various city inspections.
- Manage the facility alarm and access control for staff, volunteers, and attendees.
- Manage and coordinate all facility janitorial services, be it performed by staff, volunteers, or a vendor.
- Develop and follow through on a preventive maintenance checklist logged in eSPACE.
- Log all facility maintenance as work orders in eSPACE.
- Respond and fulfill maintenance requests submitted via eSPACE.
- Recruit, train, and develop a volunteer team to assist with facility maintenance.
- Ensure the care and upkeep of the facility and grounds ahead of Inspire Services each week as well as ahead of other major campus events.
- Conduct an annual facility condition assessment ahead of the next fiscal year’s budget planning.
EQUIPMENT & SUPPLIES:
- Purchase and maintain key facility-related equipment and supplies with assistance from Logistics.
- Document, inventory, and manage equipment and supplies in eSPACE and assets in Asset Panda.
BUDGET:
- Manage facility-related budget lines, and make fiscal budget proposals regarding projected costs for facility operations, deferred maintenance, capital reserves, and capital projects.
- Make recommendations to the Campus Pastor regarding the development of short and long-term plans to financially steward the facility well and minimize deferred maintenance costs.
- Responsible for any facility-related billing, be it utilities, contracts, etc.
- Maintain and cultivate vendor relationships for best costs and service.
Operational Services Primary Functions
- Facilitate space and calendar coordination for campus meetings, events, etc. utilizing eSPACE.
- Develop processes to best serve campus staff in using the facility so they’re able to primarily focus on investing in people rather than administrative &/or operational tasks related to using the facility.
- Manage all externally-contracted campus events as the primary point of contact.
- Coordinate expectations regarding who is responsible for set-up, teardown, and clean-up for activities that take place on campus.
- Establish and manage clear set-up, teardown, and clean-up procedures for every key facility space that can be reserved for campus activities.
- Manage campus storage areas defining expectations of usage and upkeep.
- Manage office supply inventory partnering with Logistics for procurement.
- Coordinate procurement & delivery of other key supplies in partnership with Logistics.
- Recruit, train, and develop volunteers to assist with these services.
PROTOCOLS AND PROCEDURES:
- Be familiar with the Gateway’s Emergency Response Guide and ensure their campus has answered the key campus procedural questions related to Gateway’s 6 primary emergency protocols.
- Ensure a Safety Incident Report is filled out whenever there is a safety incident.
- Review safety incidents filling out an After Action Report to document learnings for future reference.
- Maintain the Campus Intelligence Report.
- Participate in periodic cross-campus meetings to review learnings from across campuses and contribute updates and edits to the Gateway’s Emergency Response Guide.
- Conduct an annual risk assessment.
- Liaison with campus security officer.
TRAINING:
- Participate in recommended safety awareness training opportunities.
- Schedule emergency procedures’ training for campus staff and key volunteers periodically.
- Coordinate CPR/AED training & certification opportunities annually.
- Partner with campus staff to ensure appropriate safety training for their teams takes place.
- Recruit, lead, & train a volunteer safety team.
SUPPLIES:
- Ensure fire extinguishers are kept up to date.
- Ensure AEDs are functional, checking batteries and replacing them as needed periodically.
- Ensure first-aid kit supplies are replenished after use.
- Ensure emergency procedure maps are kept up to date.
- Ensure emergency “go bags” are kept up to date and supplies replenished.

- Spiritually mature and growing Christ follower
- Highly organized
- Excellent time management skills
- Ability to cast vision and create buy in from volunteer teams
- Proficient willing to intentionally develop/grow in database systems, google sheets, google docs, espace..
- Mechanical knowledge and hands-on experience in some areas of construction, maintenance, repair, landscaping, irrigation, painting etc.
- Proven ability to create and maintain effective, adaptable organizational systems
- High school degree or GED equivalent required, college or trade school preferred
- Must be able to lift heavy objects (>50lbs.)
- Must be able to work in adverse or difficult environments, including changes in weather conditions.
