OPERATIONS - CLERK Job at Kinder Morgan
PRIMARY PURPOSE
The Operations Clerk will assist with procurement activities for Harvey Delta Terminal operations. Will assist in the coordination and communicate among vendors, contractors and internal functions to ensure accurate order fulfillment, inventory levels, POs and invoicing. This position will also perform receiptionist duites in conjunction with other assigned duties from the Coordinator-Ops. At times will provide general support for Terminal operations.
- Prepare and attend to incoming and outgoing mail and deliveries via USPS, UPS, FedEx, etc. including trips to post office and 3540 building
- Filing, typing and copying as needed for various departments.
- Securing applications and other paperwork during job interviews and new hire processing.
- Perform receptionist duties as it relates to answering incoming calls on the main phone line; receiving and greeting terminal customers and guests in a tactful, courteous and professional manner; coordinating guest visits with the appropriate Kinder Morgan employee.
- Assistance with meetings by coordinating events, preparing documents, sending meeting invites and securing lunches. (Terri Lanoux to set up and train if needed.)
- Process requisitions into the Lawson procurement system daily. Requisitions should be processed on day received.
- Verify accuracy and completeness of requisitions, including verification of quote and/or rate sheet, ISN approval and contract status.
- Track Purchase Orders and invoices by use of Excel spreadsheets and verify accuracy weekly.
- When necessary, contact vendors to expedite delivery of goods and services and secure missing paperwork.
- Work closely with Project Managers, Engineers and others who requisition purchase orders regarding final invoice verification and open Purchase Order accuracy. Underage tracked. Final invoice against PO.
- Receive dray sheets from Shipping and Receiving and input into system daily.
- Work closely with Approvers, Purchasing and Accounts Payable to ensure timely processing of invoices, including clearing INR report weekly. Invoices should be processed within five days of receipt.
- Prepare AP invoices for processing, including PO number verification, coding and line item notations and verifying charges against quote and/or rate sheet.
- Maintain well organized files.
- Coordinate and maintain all general use fleet cards and logs.
- Develop and maintain other electronic data bases, files, correspondences and presentations as needed.
- Provide various other support functions/reports on an ad hoc basis.
- Must have the ability to work overtime during high volume periods, including month / quarter / year end.

- Associate Degree, or equivalent course work, at an accredited college or university.
- Bachelor's Degree preferred.
- Prefer having worked in an chemical and/or petroleum industrial / marine terminal environment.
- Must have a valid driver's license and a driving record satisfactory to the company and its insurers.
- Ability to obtain TWIC (Transportation Worker Identification Credential) as issued by TSA (Transportation Security Administration).
- Must have exceptional verbal and written communication skills.
- Must have high level of initiative.
- Ability to comfortably interact with employees at all levels in the office AND in the field.
- Conduct interactive meetings.
- Must have ability to effectively organize, prioritize and plan daily work in an unstructured work environment.
- Must have ability and willingness to work with a team, take directions from supervisor(s), with a high degree of attention to details, follow work rules and adhere to established work schedules.

- Must have intermediate to advanced proficiency with Microsoft Office Applications including Word, Excel, Outlook and PowerPoint.
- Must be able to lift up to 50 lbs.
- Must be willing and able to work in a corporate office and field environment.
- Must be willing and able to work outside in the plant environment, in all types of climatic conditions.
- Must be able to climb stairs, cranes, conveyor systems, tanks, up to 95 feet.
- Travel to other field or corporate locations may be required depending on nature of ongoing work activities as much as 50% or possibly even more.
- Extended periods of sitting may be required for administrative activities.
