White Oak is pleased to announce that we are currently interviewing for a Full-time Business Office Manager to join our team and become a part of our family. The Business Office Manager oversees, processes, and maintains all appropriate and adequate information in order to bill approved payor sources for services and charges rendered by our facility.
Qualified candidates must be a High School Graduate with commercial college or business experience.
This role is responsible for the following: verifies payor sources for possible admissions and/or referrals. Explains and completes the business office related section of the admission packet on new and/or readmissions. Provides information and assistance to residents and/or family members concerning Medicaid eligibility and level of care criteria. Contacts DHHS office for Medicaid approvals, denials and/or completed paperwork. Also maintains a working relationship with all caseworkers. Maintains AHT/Orbits Systems at all times. Ensures all Ancillary charges and payor sources are correct before processing month-end billing. Notifies appropriate outside agencies and departments within facility of admissions, transfers, discharges and other information as applicable in a timely manner. Reviews monthly billing statements and explains to patients / patient authorized representative upon request. Makes daily bank deposits to the bank and posts payments to the aging. Responsible for applying collection policy to all overdue accounts. Follows Business Office Policy and Procedures manual for maintaining accounts receivable records. Maintains patient fund accounts including making deposits, posting withdrawals / deposits, receipts and add interest to applicable accounts. Balance monthly to bank statement and mail quarterly statements to resident authorized representative. Provide a statement to all capable residents. Ensuring resident funds is in balance at all times according to corporate policy. Responsible for seeing that moneybox is secured at all times for patient funds. Verifies all refunds on resident A/R accounts and request refund when applicable. Maintains current business file on all in-house residents as related to Medicare, Medicaid, Hospice, Insurance, and Private Pay. Initiates billing face sheet on all admissions and re-admissions. Notifies departments of any changes in information. Notifies families of bed hold policy upon resident transfer to hospital. Completes necessary paperwork for bed hold, when applicable. Provides insurance information to outside agencies when needed. Maintains census list and distributes to appropriate personnel / departments. Communicate all patient changes information to White Oak Management, Inc., Pharmacy, Physicians, Consultants and other vendors as required. Maintain all reporting requirements for Medicare, Medicaid, VA, Hospice program certification and level of care changes. Apply for representative payee with the Social Security Office as appropriate, complete yearly reviews and maintains a working relationship.
