Summary:
The Office Manager will oversee the day-to-day operations and administrative level of support for our new Miami office. We are looking for an energetic professional who is comfortable wearing multiple hats with the ability to manage a wide range of administrative duties to support the executives on-site. You will be expected to provide a high level of customer service to all visitors, clients, employees, and vendors.
This position will also be responsible for coordinating, scheduling, planning, implementing, documenting, and executing the building maintenance and improvement projects. You will also work with outside vendors and property management to ensure effectiveness, efficiency, and safety.
Job Duties
- Provide administrative support to include travel arrangements, schedule/manage calendars, book hotel accommodations, event planning, order meals, process expense reports, and other correspondence for executives while on-site
- Coordinate and managed all vendors and contractor relationships
- Create and manage facilities tickets in partnership with property management
- Develop, maintain, and implement the office’s standard operating procedures including budget, procurement, and services
- Manage all office mail, order inventory and office supplies
- Provide event support for customers and employees
- Ensure workplace safety processes and documentation are maintained and reviewed regularly
- Manage accounts related to workplace amenities. This may include beverage, snacks, and leased equipment
- Provide recommendations for improvements to office and site safety
- Perform other duties as assigned
Qualifications:
- Degree in Business Administration, or related field (preferred)
- 3-5 years’ related experience providing administrative support for C-level executives
- 3-5 years’ experience in office management and office facilities maintenance
- Project management and strategic planning capabilities
- Proficient with Word, Excel, PowerPoint, and Outlook
- Attention to detail, the ability to meet tight deadlines, efficient organizational skills, and the ability to switch gears
- Detail-orientated with strong planning, organizational and time-management skills
- Strong communication skills, both oral and written, and an ability to interact with all levels of management
- Ability to work well under pressure, a team player with excellent prioritizing skills
- Ability to work independently with little or no supervision
- Bi-lingual Spanish is preferred
