The Houston Center for Pediatric Therapy is now accepting applications for an Office Manager to work in a fast-paced setting while supporting and overseeing all aspects of the office and team while ensuring our patients receive exceptional care.

Responsibilities

  • Model outstanding patient service, written, verbal, and other communication skills.
  • Identify team member strengths and areas of opportunity as it relates to patient skills.
  • Delegate out appropriate tasks to team members when applicable
  • Train, coach, mentor and encourage team members to optimal patient service levels.
  • Work with HR and owning Doctor to meet new hire needs
  • On-board all team members to seamlessly integrate into the dynamic practice environment while continuing to meet the patient and business needs. Train operations team members to perform duties in a timely and accurate manner while auditing work to confirm quality and provide additional training as needed.
  • Schedule office trainings with departments from SRP if needed (ex: billing)
  • Partner with the human resources department for coaching and guidance regarding personnel management, including performance reviews, performance improvement plans, and performance warnings.
  • Ensure all staff documentation is turned into HR in a timely manner (ex: verbal discussion form, Dr’s note, etc)
  • Attend meetings, training courses, and other learning and development opportunities as made available and/or required
  • Partner with leadership to make operational decisions to benefit the practice.
  • Participate in community marketing activities to promote the practice when possible
  • Understand, analyze, and action plan key performance metrics to successfully lead and grow the business.
  • Provide action item follow up for anything needs of SRP headquarters (ex: PI)
  • Hold team accountable to regular and timely required workplace diversity, HIPAA, and OSHA training requirements
  • Review operating performance results and take immediate steps to implement course corrective activity as needed
  • Monitor staffing calendar - if a team member is out it is the OM’s responsibility to ensure coverage (not the ROM’s)
  • Monitor office supplies and the monthly amazon budget
  • Host team meetings
  • Meet deadlines
  • Make sure all patient coordinator duties are completed successfully daily

Reports directly to ROM

Qualifications

  • High School diploma or GED required, 4 year bachelor preferred or equivalent of management experience in the medical, chiropractic, or physical therapy field(s)
  • Bilingual (Spanish) preferred
  • Sales and Customer Service experience a plus
  • Ability and willingness to multi-task, delegate, and hold others accountable
  • Computer literacy and typing proficiency
  • Knowledge of medical insurance and billing
  • Managerial experience in a medical environment is a must.
