Position Title: OFFICE MANAGER

Supervisor: President/Vice President of the Board

Classification: Non-Exempt Hourly Position

Salary: $17-22/hour dependent upon experience

Duties and Responsibilities:

  • Pick up, open, date, sort, log and distribute mail, as needed
  • Answer telephone, respond to questions, take messages, as needed, and ensure messages are routed appropriately
  • Answer Facebook messages and emails, as appropriate
  • Perform general filing, as required (month, vendor)
  • Ensure membership receives Board meeting minutes by email and file minutes in the appropriate electronic systems
  • Act as office receptionist by greeting visitors and helping to coordinate visitor flow
  • Maintain and update membership and the member service directory
  • Maintain the website and other social networking platforms
  • Manage the use of Facebook postings and boosting, as directed by the EDC Chair
  • Correspondence as requested and/or assigned by Board Members or Committee Chairs
  • Facilitate the completion and distribution of electronic communication
  • Maintain all brochures and update the Board when needed
  • Weekly monitoring of kiosk (certain times of year may require more)
  • Track and provide the Board with information on inquiries
  • Inform the Board about new members and provide Ambassador baskets to the designated Board Member(s), as needed
  • Contact all new businesses about a Chamber membership
  • Attend all weekly Chamber meetings and give office report
  • Be flexible in expanding hours of operation, when needed
  • Always be punctual and dressed in professional attire
  • Attend all Chamber events, unless excused with prior approval

Event Assistance:

  • Work with the Fund Raising Committee Chair and Treasurer on the promotion of the various events
  • Work with the Fund Raising Committee Chair and Treasurer on the financial accounting of an event before and at the conclusion of the event
  • Attend the event(s) and assist as needed

Bookkeeping:

  • Posting of accounts receivables/payable and retrieve information to print reports, as needed or requested
  • Billing of all memberships and billing statements as needed
  • Receive membership payments, write receipts, as appropriate and/or necessary
  • Tracking of her/his hours and preparing payroll at the end of each pay period (Sick days, Vacation days)
  • Chamber Auction records (report to Auction Chair and Treasurer) (Donations received, Bids received, Send out thank you notes for donations and bid winners, Miscellaneous items: table sales, refreshments and meal tickets sold, advertising, etc.
  • Preparation and filing of quarterly and annual tax statements

Additional Responsibilities:

  • Promote excellent customer service relations by a positive, professional handling of all member and public contacts in the office, on the telephone, via email and through written correspondence
  • Provide support as requested by the Board of Directors and Committee Chairs
  • Additional responsibilities will be assigned

Education:

  • High School Graduate or equivalent GED
  • Provide at least three (3) references

Qualifications and/or Special Training Required:

  • Familiar with the geographical area
  • PC experience including data entry skills of 40 wpm
  • Software knowledge which includes Windows and Word; email communication; Database Management with experience in Excel and QuickBooks (QuickBooks training to include coding entries consistently and running reports)
  • Basic bookkeeping and/or good math aptitude
  • Strong verbal communication abilities and proven time management skills
  • Team oriented
  • Strong organizational skills with attention to details

Job Type: Part-time

Pay: $17.00 - $22.00 per hour
