Description:

ATCO Frontec is seeking an experienced Office Manager to join our team in Houston, TX. The Office Manager is responsible for a wide variety of project, contract control, and administrative assignments to maintain efficient cost-effective operations.

Responsibilities:

  • Provide administrative support to the General Manager, ATCO Frontec USA and the U.S. Operations Manager and their direct reports.
  • Arrange travel plans and schedules when applicable leveraging preferred providers
  • Source, review, and short-list candidate applications in a timely and efficient manner;
  • Provide a positive candidate experience through the recruitment cycle for all applicants;
  • Record and prepare minutes for Executive-level meetings (as required).
  • Matching of Purchase Orders, Packing Slips, and sending Invoices for processing
  • Verify that AP/AR transactions comply with policies and procedures
  • Reconciliation of vendor statements and follow-up any outstanding items
  • Liaison with the Calgary Finance Team to ensure all US office expenses are recorded monthly
  • Provides HR support by maintaining updates and additions to master documents, interfacing with service providers, and regulates the distribution of new material to appropriate personnel.
  • Assist with new hire onboarding and orientations

Qualifications:

  • The successful candidate should hold 7 or more years of experience in an office manager or executive assistant position
  • Experience in business administration including HR, bookkeeping/accounts payable/accounts receivable and recruitment.
  • Excellent written and verbal communications skills and organizational abilities
  • Ability to work independently is a strong asset
  • Strong MS Office skills (Word, PowerPoint, Excel) and keyboarding skills
  • Excellent interpersonal skills
  • Able to express ideas/solutions in a clear and concise manner
  • Is self-aware and seeks feedback to support personal growth
