Responsibilities
Position Summary:
An Office Coordinator provides clerical support to the nursing unit, including communication of authorized physician orders to ancillary departments, operation of automated data entry systems, and performance of receptionist duties for patients, family members and visitors to the unit. Works closely with other members of the nursing team to assure that the Surgery schedule proceeds efficiently and that necessary supplies are available when needed.
Utilizes automated data system to enter patient admission, discharge and transfer information; communicates ancillary orders; transmits messages and communicates between nursing units and other departments.
Schedules upcoming surgeries. Maintains awareness of confidential information and exercises appropriate judgment in releasing patient information

Reviews schedule prospectively, ensures flow reflects appropriate use of block time, surgeon requests and addresses changes with minimal gaps in the schedule.
Provides customer service oriented scheduling. Identifies and reports scheduling issues and maintains a proactive approach to opportunities for enhanced scheduling practices.
Keeps a log of surgeon procedure request date/time if primary request is not granted. Lists alternate date/time offered and resolution of request.
Answers the telephones, communication systems, pages and initiates various communication needs to aid in the smooth functioning of the operating room, i.e., nursing floors, laboratory, X-ray, doctors office, etc.
Correlates the coding, charging and check systems for surgery procedures. Confers with the OR Surgery Buyer to determine pricing for prostheses or equipment used and enters appropriate charges.
Enters charges into the computer. Audits charges retrospectively on sampled basis and reports discrepancies to supervisor.
Sends charges to the Business Office and Nurses Report of Operation (NROs) are entered in a timely manner.
Maintains daily statistics. Submits statistical reports monthly.
Screens calls and visitors; refers calls and gives information as appropriate.
Helps to coordinate emergency procedures: must be familiar with Code Blue, fire, security and disaster codes.
Assists in orienting new nursing team members to clerical functions and responsibilities. Participates in educational activities as directed.
Other duties as assigned.
Assists with the following duties as directed: 1. Stocks ad orders supplies for unit and/or patients. 2. Performs errands as requested 3. Performs other duties as directed.
Maintains a neat, clean and safe environment: 1. Keeps Nurses Station area clean and free of trash and litter. 2. Keeps chart forms and unit supplies appropriately stored or disposed.
Successfully/completes each of the following once a year (provides documentation of attendance/viewing at evaluation time): 1. Fire safety 2. General Hospital Safety 3. Infection Control 4. Disaster
Qualifications
Minimum Qualifications:
- Prior experience in medical office setting.
- Medical Assistant experience.
- Associate degree or two years of college completed. Preferred
- BASIC LIFE SUPPORT-AHA (CT CPRBLS)
Pay Range
$25.47 - $28.41 /hour
