Our organization is looking for an Office Coordinator to join our team and help manage the day-to-day operations of the office. The successful candidate will be responsible for a variety of tasks, including but not limited to, answering phones, scheduling appointments, filing paperwork, managing office supplies, and providing administrative support to staff. The ideal candidate will have excellent organizational skills and a commitment to providing excellent customer service.
Responsibilities:
- Manage office supplies and equipment.
- Greet visitors and direct them to the appropriate person or area.
- Answer phone calls and respond to inquiries in a professional manner.
- Schedule meetings and appointments.
- Maintain filing systems, both electronic and paper-based.
- Coordinate travel arrangements for staff members.
- Assist with administrative tasks, such as data entry, filing, and preparing reports.
Duties:
Job Summary:
The Office Coordinator performs a variety of duties related to the coordination and management of departmental operations and oversees the office support staff.
Essential Generic Job Functions (List in order of importance):
1. Schedules appointments for Administrative Director and maintains calendar.
2. Maintains Administrative Director’s files.
3. Reviews and maintains departmental policies and procedures manual.
4. Organizes and maintains all inventories of supplies, purchase orders, check requests, and capital requests for payment processing.
5. Maintains employee files, time and attendance records, and preparation of employee evaluations.
6. Maintains proper working order of all departmental equipment and notifies appropriate personnel for repairs and maintenance as required.
7. Coordinates yearly in-services necessary for staff, and assists with organization of schedules, or special events.
- Will need experience with Epic.
- Will be performing patient precertifications and coordinating surgical scheduling.
- Possible travel between Hackensack locations.
Skills:
Knowledge and Skills Required: 2 years of experience minimum.
