General Description

The Office Assistant is responsible for performing clerical and administrative support for the Recreation Division for the City of Casselberry. The Office Assistant performs work that is routine and well covered by existing policies, procedures or instructions.

Examples of Essential Functions

Provides clerical and administrative support for the Recreation division. (95%)

  • Coordinates departmental activities with Recreation Programs and Events Supervisor, and Recreation Staff assuring that all information is disseminated as may be appropriate.
  • Researches, collects, and prepares data for records and reports; maintains expenditures records for department in recreation management software system.
  • Reviews with attention to detail, a variety of data for accuracy, completeness, and conformance to established standards and procedures.
  • Composes correspondence and other documents. Takes dictation and transcribes letters, reports, statements, memoranda and all other material promptly and accurately.
  • Maintains Recreation Center’s calendar, screens callers and provides quality customer service to callers and visitors.
  • Manages facility meetings and rentals through CivicRec.
  • Collects fees and processes revenue received in the form of checks, cash and credit cards; including the account identification for accounting purposes. Processes online registration on CivicRec.
  • Responds timely to customer requests and inquiries.
  • Assists with special events for the seniors and seeks sponsorships to offset costs.
  • Collaborates with the Finance Department to ensure compliance with all financial policies as related to job responsibilities.

Additional Duties and Responsibilities (5%)

  • Performs all duties and responsibilities in a manner consistent with the core values of the City, and consistent with City and Department policies.
  • Follows safe working practices and has a working knowledge of safety practices and procedures.
  • Assists in the coordination and implementation of large scales programs and events for a variety of groups.
  • Completes the identified required or assigned training timely and applies acquired knowledge and/or skills.
  • Adheres to laws, regulations and policies of the City and of the assigned department. Follows instructions provided by supervisor, Department Director or their designee.
  • Participates in department meetings, staff meetings and other related activities.
  • Maintains, preserves, retains and disposes of public records according to FS Chapter 119.

Emergency Management Role

  • Participates as a member of the City staff as required to take action in the event of an emergency.
  • Acts in the assigned role to support the City in disaster preparation and/or disaster recovery efforts as described in the City of Casselberry Emergency Management Plan, assigned by supervisor or designee.

  • Education and Training: A High School Diploma or G.E.D. is required.
  • Experience: A minimum of (1) year experience in special events, recreation or related field is required. A comparable combination of education and experience may be considered.
  • Certificates, Licenses and/or Registrations Required: Must possess and maintain a valid Florida Driver’s license. A Motor Vehicle Record (MVR) check will be made to determine acceptance of past driving record.
  • Security Clearance: Florida Department of Law Enforcement background clearance.
  • Knowledge, Skills and Abilities:
  • Knowledge of local, state and federal regulations affecting work.
  • Knowledge of departmental rules, policies and procedures.
  • Knowledge of the methods involved in organizing, conducting, promoting, and supervising recreation activities.
  • Knowledge of facilities and materials required to carry out special event programs.
  • Knowledge of safety guidelines for events and recreational activities.
  • Knowledge (intermediate level) of Active Net or similar recreation management software system.
  • Ability to lead and instruct groups of people.
  • Ability (intermediate to advanced level) to utilize Microsoft Office Suite, e.g. Outlook, Word and Excel.
  • Ability to deal with stressful conditions in a calm and professional manner.
  • Ability to establish and maintain effective working relationships with other employees and the public.
  • Ability to operate a motor vehicle.

Work Environment: This position performs the duties primarily in an office setting, however, while setting up and attending events work is performed in a field setting. The noise level in the office work environment is moderate; the noise level in the field setting is loud. While in the field setting, this position is also frequently exposed to various weather conditions. B. Physical Demands: The primary functions require frequent periods of standing, walking, bending, pushing and pulling, time sitting, using hands to handle or feel, and reaching with hands and arms. In addition, this position may be required to occasionally lift and carry up to twenty-five (25) pounds with or without assistance of another person or utilization of lifting equipment. This position is regularly required to use vision, speech and hearing, with or without assistive devices.C. Equipment/Tools and Technology Used: This position utilizes the following tools and equipment while performing the duties of the job: Desk phone, desktop computer, calculator, and printer/peripherals.D. Employee Infection/Exposure Risk Classification: Category III: Employee performs tasks that do not involve exposure to blood, body fluids or other potentially infectious materials (OPIM). Persons who perform these duties are not called upon as part of their employment to perform or assist in emergency medical care or first aid, or to be potentially exposed in some other way. Tasks that involve handling of implements or utensils, use of public or shared bathroom facilities or telephones, and personal contact such as handshaking are Category III tasks.
