Job Title: Office Administrator Status: Non-exempt

Reports To: Human Resource Generalist Supervises Others: N/A

About the Role:

The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and be able to work well within a team in an environment of changing priorities. This role requires a resourceful, critical-thinker with the willingness to go above and beyond to get things done while ensuring the smooth and efficient operation of our office on a daily basis.

What you’ll do:

Core duties and responsibilities include the following.

  • Greet visitors to the office and direct them to the appropriate personnel.
  • Manage office calendars and schedules, including scheduling meetings and appointments.
  • Prepare and distribute internal and external communications.
  • Oversee office supplies and inventory, including ordering, receiving and stocking of supplies.
  • Manage office facilities, including liaising with building management and maintenance staff as necessary.
  • Coordinate and organize office events, meetings and conferences.
  • Maintain accurate records and filing systems, both electronic and paper-based.
  • Handle basic accounting tasks such as invoicing and record keeping.
  • Ensure compliance with company policies and procedures.
  • Conduct research and cold calls to potential clients/customers and schedule appointments for management team
  • Draft and send emails to clients/customers, vendors, and other stakeholders.
  • Provide administrative support to the executives and management team, including organizing documents, preparing reports, scheduling meetings and appointments.
  • Other duties as assigned.

Our Perfect Candidate

Education and Experience:

  • High school diploma or equivalent required; Associate's or Bachelor's degree in business administration or a related field preferred.
  • Proven experience as an office administrator, office assistant or relevant role.
  • Strong organizational and administrative skills with the ability to prioritize multiple tasks.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Excellent verbal and written communication skills.
  • Ability to follow instructions and perform a wide range of tasks
  • Ability to take initiative and be proactive
  • Ability to reprioritize at a moment’s notice to assume additional responsibilities based on changing needs
  • Strong attention to detail and accuracy.
