Move-In Coordinator Job at Fountain View Village

Position Summary:
Assist older adults with all things related to moving into the community, including obtaining required paperwork, organizing movers, and potential upgrades to their residence. Work closely with the other sales team members and department leaders to ensure everything goes smoothly on move-in day. Act as back-up to the sales team in the event they are not available for a walk-in prospect. At the direction of the Sales Director, assist with social media posts and creation of videos. Daily tasks include conducting follow-up via phone, email and/or text, assisting with events, entering and utilizing data within the lead management system, creation and/or completion of required reports and any other activities necessary to achieve budgeted census goals.
Position Schedule: Full time – Monday through Friday.

Essential Functions:
- Prepare closing documentation and internal communication timely and accurately.
- Serves as the primary contact with future resident regarding move-in dates and details surrounding the move-in.
- Assists prospect with apartment modifications and communicates modifications timely and effectively with the Sales Director and Plant Operations team.
- Develops and updates the community move-in guide.
- Works with other department leaders and future resident to schedule necessary assessments.
- Obtain proper documentation needed for move-in to include physicians’ assessment, medical records, etc.
- Follow the ExSell with LCS sales process and utilization of ExSell Connection Sheets.
- Serves as backup to inquiry calls, walk in tours and scheduled appointments.
- Embraces Extraordinary Impressions best practices in the marketing office and influences hospitality.
- Walks vacant inventory and submits work-orders as needed.
- Complete paperwork and data entry into the lead management system on a daily basis.
- Actively participate in any in-house marketing events.
- Actively participate in generating resident and prospect referrals.
- Actively participate in any community outreach efforts.
- Drives personal vehicle to customer home as needed to advance the move-in.
- Supports creating a culture where the business decisions made in this position, along with individual employee engagement, drive top-line revenue and occupancy.
