Summary
The Taubman College of Architecture and Urban Planning seeks an engaging and detail-oriented events coordinator to work full-time for a one-year, term-limited appointment. Reporting to the Events and Public Programming Manager, you will provide support and assistance for commencement and homecoming activities, the distinguished lecturer series, faculty-conceived multi day conferences, symposia, and exhibitions, local and regional alumni events, and donor related events.
This job is situated in Ann Arbor and on-campus work is required three days a week, with a few fully remote weeks throughout the academic year. We are also piloting a fully remote period for staff from mid-May to mid-August.
Note: This appointment is term limited up to one year and is expected to end in May 2024.
Responsibilities*
- Maintain procedure information and shared resource materials for events.
- Update calendars.
- Expense tracking and budget reconciliation.
- Track guest travel and lodging arrangements.
- Coordinate promotional efforts and public event listings.
- Monitor attendee registrations and final guest counts.
- Manage inventory of event supplies.
- Assemble event materials including event announcements, invitations, guest itineraries, contact lists, and run of shows.
- Oversee the printing of name tags and signage for use or distribution at the event.
- Onsite event support. This may include some flexibility in scheduled work hours.
- Support other areas of the college as needed.
- Other duties as assigned.
Note: Some flexibility of scheduled work hours may be required, including evenings or weekends on a prior scheduled basis.
Required Qualifications*
- Bachelor's degree
- Familiarity with Taubman College and our events and programs
- Demonstrated project management and organizational skills
- Experience with budget and expense monitoring
- Intermediate experience with Google suite and Microsoft office
- Ability to occasionally work during early mornings, evenings, and weekends
Physical Demands/Work Environment
- Routinely moves materials weighing up to 50 pounds for various event needs
- Requires the ability to travel to various locations to conduct work and deliver materials in a U-M work van or your own vehicle, as needed.
