Medical Team Clerk

The Medical Team Clerk works under the direct supervision of the Medical Assistant Supervisor. The Medical Team Clerk provides care team support in a Patient-Centered Medical Home clinic by performing clerical and administrative functions to assist in the delivery and coordination of patient care.


Duties and Responsibilities

Core Duties

  • Answer telephones, take messages, route messages to their intended recipient.
  • Collects, receives, and routes patient information including medical records; faxes, scans, emails as needed.
  • Reviews and routes incoming messages, correspondence, and other communications to the appropriate recipient.
  • Utilizes the electronic health record (EHR) for documenting actions taken as appropriate.
  • Conducts research on patient records including referrals in order to provide updates for patients and health care personnel.
  • Serves as the point of contact for all non-medical questions from patients, families and staff. Responsible for maintaining a working knowledge of the specific conditions dealt with in their unit to perform this duty well.
  • Schedules appointments.
  • Applies critical thinking and problem-solving skills in the handling of relevant paperwork for Doctors and Nurses.
  • Utilizes the EHR and other tools to monitor the progress and completion of assignments.
  • Transcribes data into a variety of databases and registries including the EHR
  • Provides support to health care staff and ensures appropriate maintenance of the patient care unit.
  • Administers an efficient communication network and manages the flow of traffic.
  • Provides assistance to all team personnel and ensures appropriate cleanliness of all units.
  • Coordinates with various departments
  • Monitors inventory of supplies and equipment and assists in managing all requisitions for same.
  • Supports efforts to ensure compliance with organizational safety policies and procedures.
  • Coordinates with clinic supervisors and managers on all policy matters.


Education and/or Experience and/or License/Certification

  • High school diploma
  • Certificate of completion for a medical secretary or Hospital Unit Coordinator/Unit Secretary preferred
  • One year of medical office experience preferred
  • Knowledge of medical terminology
  • Active CPR, BLS Certification.
