We have a great opportunity for a Volunteer Program Manager in our growing organization!

Share Our Selves (SOS) is proud to be the largest Federally Qualified Health Center in Orange County to combine wrap-around social services with health care. We have 6 community health centers in Costa Mesa, Newport Beach, Anaheim, Santa Ana and Mission Viejo. We are looking for an inspiring Volunteer Program Manager in our Costa Mesa location to support Volunteers across all the organization.

JOB SUMMARY:
The Volunteer Program Manager is an ambassador for Share Our Selves (SOS) that is responsible for overseeing volunteer and community volunteer activities. This includes all elements of the SOS Volunteer Program including recruitment, performance, retention and recognition. Ensures regulatory compliance for all volunteer documentation and management of individual, group, and corporate volunteer files. Works closely with SOS department leaders to calculate needs, opportunities, and program administration while also supporting the development of new initiatives and implementation of engagement strategies for current and new groups/corporations as related to volunteering. This position ensures long-term sustainability and expansion of SOS’s strategic initiatives and community volunteer engagement activities.

JOB RESPONSIBILITIES:

· Implement the goals and objectives for the volunteer program which reflects/supports the mission of the organization.

· Manage recruitment, retention and assignment of SOS volunteers. Present SOS’s Mission to local corporate, academic, faith and community organizations to obtain volunteers for ongoing volunteer events. Facilitate and support training of all volunteers.

· Manage and collaborate all aspects of in-house volunteer events including outreach, marketing, budgeting, production, and acknowledgement. This will include implementing new strategies that will streamline community volunteer engagement goals while increasing community support.

· Collect and manage feedback from all parties involved in volunteer activities, including volunteers, staff, and community members through written reports, testimonials, and verbal comments. Share feedback with leadership and site staff to acknowledge strengths, successes and to make improvements for future volunteer activities.

· Oversee all volunteer related specials projects and events.

· Collaborate with the Development team in engaging potential volunteers for special development events/activities.

· In collaboration with the development team, support the transition of volunteers into organizational donors

· Manage the database from the volunteer and community engagement perspective. This includes ensuring the database is growing statewide to reflect ongoing volunteer activities, and overseeing the acknowledgement of volunteers.

· Conduct ongoing evaluation of the programs and services delivered by volunteers and implement improvements as necessary. Organize the volunteer program/service

· Develop, administer, and review policies and procedures which guide the volunteer programs and services, and reflect the overall values of the organization.

· Promote the volunteer program to gain community support of the volunteer program and the organization

· Develop and implement effective strategies to recruit the right volunteers with the right skills

· Develop and implement an intake and interview protocol for potential volunteers to ensure the best match between the skills, qualification, and interests of the volunteers and the needs of the organization.

· Orient volunteers to increase their understanding of the organization, its clients, its services and the role and responsibilities of volunteers

· Work with department heads and others to identify roles for volunteers and train employees to supervise volunteers in their day to day duties.

· Ensure that volunteer check-in procedures are followed and records of volunteer hours are maintained according to established procedures

· Ensure that volunteers receive the appropriate level of supervision

· Provide volunteer related trainings for all employees and volunteers.

· Engages in regular contact with all active volunteers

· Creates reports related to volunteer hours and other data for department managers and grant submissions and reports

· Provide letters of recommendation and job referrals for volunteers in conjunction with the Department Leadership.

· Provide inputs to budget requirements for volunteer management.

· Provide site tours to prospective volunteers, visitors or groups.

· Provide content to the SOS web site and newsletters as requested related to the volunteer program.

· Attend events and meetings in the evenings and on the weekends as needed

QUALIFICATIONS:

· Bachelor’s Degree in Social Work/Public Health or related field or equivalent experience preferred

· 2-4 years experience in non-profit volunteer management preferred.

· Solid management/leadership, development or social service experience

· Experience developing and implementing policies and procedures in a positive and fair manner.

· Strong interpersonal skills to handle sensitive and confidential situations. The ideal person for this job would be a team player, personable, professional, positive attitude, energetic, takes initiative, uses tact and diplomacy.

· Excellent written and verbal communication skills.

· Comfortable with public speaking and community outreach events.

· Proficient in Microsoft Office suite, Outlook, Excel, Word, PowerPoint.

· Knowledge of volunteer management software preferred (Volunteer Hub).

· Demonstrated ability to execute a supportive and sensitive approach to volunteer and patient/family needs

· Proven attention to detail with organizational and time management skills.

· Highly motivated self-starter, with proven ability to develop creative solutions.

· Project a professional demeanor.

· Works well with persons from various backgrounds and lifestyles

· Bilingual in Spanish strongly preferred, not required.

Starting pay within this range will vary depending on the job-related knowledge, skills, and experience.
