Job Description

  • Ensures rotational and event counselors are fully prepared for their assignments, including having all necessary resources, materials, access to assigned work locations, and training on the systems.
  • Provides coverage for the MFLC Service Center, MFLC Change Request Box, and any other form of contact offering first-call resolution to inquiries from MFLC program counselors, providers, and field leaders, and documenting call and resolution in appropriate systems.
  • Ensures counselors know how to use the MFLC website and TimeW, Care W, and Care P applications.
  • Provides information to counselors regarding reimbursement procedures and assists with payment inquiries.
  • Uses interactions with callers to educate them on available technical and instructional resources; provides a brief, technical training and performs direct problem solving with callers to assist them to resolve issues on their own where possible.
  • Provides first-call resolution for challenges or problems with accessing or using all MFLC-related hardware, software, and systems, as well as systems.
  • Assistance/direction may include assisting users with formatting and preparing MFLC-issued smartphones, establishing phone-based email, utilizing time and activity reporting applications programs, and assisting with routine questions about how to complete expense reports.
  • Assists counselors and program leaders with training system questions/needs, access difficulties, password resets, certificate printing, and other user issues.
  • Ensures counselors have access to the travel management team and are prepared for any special nuances related to their assignments.
  • Coordinates with travel vendors to ensure the travel, lodging, and related issues are arranged for counselors for whom travel is approved.
  • Assists in resolving challenges associated with security access and/or accessing military installations or assigned locations, and logistics issues involved with remote assignments.
  • Provides fulfillment of necessary materials to the assigned counselors and assists counselor with any special requirements
  • Actively listens and probes callers to determine their specific needs in a professional and timely manner and works toward first-call resolution
  • Transfers calls or stewards out of scope and more complex issues to other resources within, including IT, HR, and the MFLC Program Management Office.
  • Tracks the status of calls, emails, and inquiries in appropriate systems.
  • Responds to, resolve, or forwards inquiries received through MFLC support email boxes.
  • Identifies issues impacting the success of making efficient assignments and proposes solutions to PMO.
  • Provides updates to the scheduling system on the status of all assignments.
  • Assists with expedited assignments by performing outreach to counselors in coordination with the Logistics Scheduler to determine availability and match.

Qualifications

  • Working knowledge of Microsoft Office Product Suite.
  • Strong verbal and written communication skills.
  • Organized with strong attention to detail.
  • 2+ years of fulfillment experience preferably with a large hospital/healthcare organization, logistics, or military operation.
  • Previous experience and understanding of military culture.

Education:

  • High School, GED Required

100 Percent remote

Length of Assignment: 3-month contract - Temp to Hire possibility

Standard Hours: MON - FRI 9:30 AM - 6 PM CST, but shifts could be anytime between 7 AM-6 PM CST as business needs require
