Job Summary
Under the general supervision of the Library Supervisor 2, responsible for coordinating acquisitions operations related to receiving and invoicing library materials in all formats, requiring advanced data management skills and systems analysis. Coordinates print monographs, serials and government documents receiving, including complex problem-solving. Manages record loads and ensures data quality for related records in library management system. Supervises student staff assisting with receiving activities including serials check-in and preparation of bindable units and receiving of shelf-ready monographs. Works with the technical support teams of materials vendors and library management system vendor to troubleshoot and maintain automated acquisitions processes. Consults with Library Supervisor 2 on execution of unit’s receiving workflows and priorities. Participates in strategic projects related to technological implementation and new initiatives in the unit.

PHYSICAL DEMANDS

- Read small print on request slips and computer screens, read and interpret handwritten and annotated requests.
- Lift books weighing up to 10 pounds, unpack boxed materials, maneuver loaded book trucks weighing approximately 150 pounds, and reach shelves 5" to 82" in height.

MINIMUM QUALIFICATIONS
Minimum Education/Experience:
- Experience with an integrated library system, using a bibliographic or similar resource database for retrieving, interpreting and editing records sufficient to perform advanced problem-solving.
- Demonstrated experience working independently and as part of a team to effectively accomplish immediate tasks and overall organizational goals providing a high level of customer service. Experience with projects requiring coordination with multiple work teams.
- Experience performing detailed tasks with sustained concentration.
Minimum Knowledge, Skills, and Abilities (KSA) :
- Knowledge of library procedures and technical services operations. Working knowledge of file transfer protocols including FTP and SFTP, and electronic data interchange (EDI) files.
- Communication and interpersonal skills to effectively interact and communicate with a group of people from diverse backgrounds in a variety of media (video conferencing, chat, email, telephone or in person). Skills to train, guide and review work of other staff.
- Organizational skills to independently establish work priorities, manage time, respond to deadlines and work on multiple complex tasks, and adapt quickly to unit workflow and changing procedures. Skills to independently exercise good judgment and make decisions within established guidelines.
- Technical skills with standard software such as MS Office suite and Google office applications, including proficiency with Microsoft Excel or Google Sheets to create spreadsheets and manipulate spreadsheet data. Math/accounting skills to evaluate invoices for correct billing amount and perform basic computations.
PREFERRED QUALIFICATIONS
Preferred Education/Experience:
- 1-3 years direct experience working with the acquisitions and/or serials module of an integrated library system, preferably Ex Libris’s Alma.
- Experience with formulating and implementing projects that require coordination and communication with multiple work teams or parties (e.g., third-party vendors).
- Experience managing data file loading into an enterprise system.
- Experience directing and training others in a work-lead or supervisory role.
Preferred Knowledge, Skills, and Abilities (KSA) :
- Knowledge of the library information supply chain for books and serials, in both print and electronic formats.
- Knowledge of non-English languages, especially Western European, sufficient to verify and process titles using the Roman alphabet.
- Skills in pattern recognition sufficient to process material in non-Roman alphabets.
- Knowledge of electronic and print bibliographic tools used in English and common non-English languages.
- Skills with database applications such as Microsoft Access or analytics software sufficient to create and manipulate queries, and generate reports.
