POSITION SUMMARY
This position is an account management, relationship management and operations
management role; for both existing partnerships and new ones. The role requires
someone to have all rounded skills and who enjoys managing multiple accounts and
priorities.
Key Responsibilities
- Ensure all Key Account guests are entered into Tropics as per passenger lists and information flows through to automated rooming lists (or create and distribute manual rooming lists for any post automated send updates)
- Maintain and edit Timings Documents or other operational documentation which is shared between the client and Destination America
- Work closely with the Operations Admin Team to confirm last-minute trip requests in a timely manner
- Respond to incoming emails to the shared mailbox in a timely manner
- Responsible for assigned Trip Series – Digital Brief packs, Free Time Add On uploads to TOPS and Salesforce, and distribution of Trip documents to Ground Handlers and suppliers as required.
- Work with closely Operations team to ensure pre-season tasks are complete and trip preparations are coordinated
- Generate last-minute trip cancellation reports and notify operations team members
- Organize internal flight segments under supervision from the Key Accounts Manager
- Build and submit Air department and/or airlines passenger lists for internal air block
- Allocate Trip Managers to assigned trip series in Tropics
- Create briefing notes for TMs/TDs prior to trip start
- Member of the TTC Tour Brands and Contiki Incident Response Team
- Other duties as required
Competencies
- Strong Office 365 skills including EXCEL, WORD, PowerPoint, TEAMS, and SharePoint.
- Ability to communicate effectively and professionally in both written and oral
- form.
- Vision correctable to 20/20 with reasonable accommodation required. Ability to look at a computer monitor for extended periods of time required.
Experience
- Previous travel industry experience preferred but not essential.
Travel & Other Requirements
- Agreed days throughout the week in the Cypress office
Salary Range
- $18.00 - $21.00 per hour
