The College of Law at Florida State University is home to four (4) student-edited scholarly publications – the Florida State University Law Review, the Journal of Land Use & Environmental Law, the Journal of Transnational Law & Policy, and the FSU Business Review.

Responsibilities

  • The Journals Manager Assistant role supports the Journals Manager position with executing and achieving objectives to ensure the Journals are supported administratively, publications are printed timely, and continuity of our operations is maintained and advanced.
  • This role is also responsible for performing other duties and responsibilities to include but not limited to:
    • Assisting the Journals Manager position with providing timely communications pertaining to all journal activities with journal members, students, staff, vendors, and subscribers, as appropriate.
    • Maintaining database of publication subscribers, alumni members, contributors, relevant contacts, and subscription billing, as needed.
    • Assisting the Journals Manager position with preparing and sending manuscripts for publication to the publisher to include but not limited to inputting edits, formatting reviews, collaborating with Editors-in-Chief, and preparing FSU requisitions and forms - completing all publisher forms and requirements requested according to specifications, and ensuring publication deadlines are met.
    • Maintaining correspondence with authors through submittal, acceptance, printing, re-printing, to the final distribution of the author reprints.
    • Ensuring payments received are documented and delivered to the appropriate department.
    • Responsible for stocking and distributing new publications received from each publisher.
  • This role serves as secondary contact for the Journals Office and plays an important part with providing administrative office support to include but not limited to:
    • Greeting students and visitors, receiving incoming mail, preparing outgoing mail, inspect incoming deliveries for damages, preparing correspondences, data entry, copying and scanning documents, preparing and modifying internal reports and spreadsheets.
    • Ensuring office equipment and appliances are adequately stocked with supplies and ready for daily use.
    • Creating, maintaining, retrieving, and filing electronic and hardcopy records.
    • Maintaining meeting spaces and ensuring items are stored in the appropriate area/location.
    • Ensuring kitchenette area is organized, stocked, and neatly maintained.
    • Assisting with special projects and event planning activities for the Journals and office.
    • Performing other assigned duties and responsibilities and may assist other departmental units, as needed.

Qualifications

    High School Diploma, or equivalent.
  • Ability to work independently and as part of a team.
  • Ability to document existing and new processes.
  • Experience working with confidential and sensitive information.
  • Ability to meet established deadlines.
  • Ability to communicate effectively verbally and in writing.
  • Ability to gather, interpret, report, and/or edit information.
  • Ability to demonstrate effective customer service skills.
  • Ability to perform accurately in a detail-oriented environment.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
  • Knowledge of Microsoft Office applications and basic computer functions.
  • Ability to maintain accurate records and retrieve files from active or archive sources. Basic filing practices to include numeric and alphabetic systems.

Preferred Qualifications

  • One year of office related experience.
  • Experience working with a law journal or written publication.
  • Proficient with conducting internet research.

Anticipated Salary Range


Anticipated salary range is $13 - $15 per hour, depending upon experience.
