Cooley is seeking an IP Applications Specialist to join the IP Practice Services team.
Position Summary: Under general guidance from the Director of IP Operations and IP Systems Manager, the IP Applications Specialist will provide business knowledge expertise to support the firm’s IP practice custom technology systems (currently Inprotech, IPDAS, PracticeLink, Chemdraw, InproDoc, and Global IP Estimator). The Specialist will work closely with end users and IS to ensure effective and consistent high functioning of IP software systems operations firm wide, including troubleshooting and timely issue resolution. Specific duties include, but are not limited to, the following:

- Provide subject matter operational and workflow support to assigned applications
- Work closely with IP leadership team in the U.S. and international offices to customize workflows
- Create and/or update workflows with new or existing events, as needed
- Proactively monitor for issues and problems. Troubleshoot and break down incidents using previous experience and knowledge to reach the root cause of problems. Report internal issues and troubleshooting questions to Service Desk. Track and close out support tickets accordingly
- Work closely with vendors, Director of IP Operations and IP Docketing & Client Transition Manager to monitor communications from foreign associates of upcoming law changes
- Run tests of law and rule updates and review discrepancy reports for issues. Complete law update, review discrepancy reports, and circulate law update changes to the IP group
- Provide IP system data support (e.g., imports, extracts, reporting) for patent and trademark team members
- Create new and maintain all Cooley specific reporting letters and forms generated from InproDoc and IPDAS
- Prepare systems testing script and recruit users to participate in testing. Document new functionality and any issues regarding system upgrade
- Attend departmental meetings to gather detailed information of issues being experienced documenting and tracking in stipulated systems. Proactively troubleshoot and communicate resolution outcomes
- Participate in various pilot programs to determine impact to the practice or IP systems. Actively test all IP systems, workflow and document any issues from testing. Work with pilot lead to resolve issues prior to the end of the program
- Prepare custom reports for users and update saved reports per user request. Troubleshoot any issues users are having with existing reports and update as necessary
- Create new user accounts in Inprotech or other IP facing applications and allocate appropriate access
- Create external access accounts and add users. Work closely with the CTS team and ensure portfolio checklist is completed prior to roll out
- Provide effective training on IP systems and practice group procedures to all users and firm’s clients
- Recommend strategies for how end users navigate and search for information and provide ongoing guidance
- Assist the Marketing department to prepare various proposals based on information in the docketing system
- Provide backup to IP Systems Manager, as required
IP practice services & information services collaboration:
- Work closely with IS or other departments to speed problem resolution
- Develop training curriculum and tip sheets for IP technologies and systems
- Coordinate software installations with vendors, internal teams, and other parties
- Collaborate with IS team to define integration requirements to create new processes and efficiencies
- Formulate methods to stress and performance test assigned applications
- Recreate steps taken by users to determine source of problem and if database or server related, escalate to IS for correction
- Schedule downtime to run law updates on production database
- Collaborate with IS and other departments on various projects relating to system version upgrades. Help create project timelines and run various tests on system upgrades, (searches, reporting, document generation, and case/event updates)
- Monitor and resolve all internal support emails/requirements and address issues related to Inprotech and/or IPDAS
Skills & Experience
Required:
- After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
- Ability to work extended and/or weekend hours, as required
- Available to travel to other firm offices, as required
- Relevant IP experience (See minimum years of experience requirement by level above)
- In-depth understanding of US and International patent and trademark rules and process
- Proven experience in workflow coordination
- Bachelor’s Degree
- Familiarity with Inprotech or comparable IP docketing system
- Strong relational database knowledge including SQL reporting services
- Microsoft SQL certifications
- Experience researching IP status and history in PTO databases, including USPTO systems (PAIR, PatentCenter, TSDR), WIPO Patentscope and Madrid Monitor, the EPO Patent Register, and EUIPO eSearch, as well as public databases in other jurisdictions
- Possess working knowledge and keep abreast of rules according to USPTO procedures, 37 C.F.R., the Manual of Patent Examining Procedure (MPEP) rules, and the Trademark Manual of Examining Procedure (TMEP)
- Previous law firm experience

Pursuant to the Colorado Equal Pay For Equal Work Act, please find the compensation range specific to this role if based in CO, as well as a description of bonus and benefits generally applicable across all US offices.
- Colorado pay range for this role, with final offer amount dependent on skillset and experience - $100,000 - $120,000 annually.
- Other compensation may include an annual discretionary merit bonus.
