Title: Shelter Manager

Reports to: Chippewa Humane Association (CHA) through the CHA Board President

General Responsibilities: The Shelter Manager shall direct the operation of the Shelter in accordance with state policies and regulations and following the policies and procedures established by the Board of Directors. They shall have general knowledge of the Association’s requirements pertaining to finance, property, equipment, and management. The Shelter Manager will perform their responsibilities with professionalism bearing in mind the importance of public exposure. All contact with the public will be done in a professional and friendly manner. The Shelter Manager shall attend monthly Board meetings and any committee meetings when requested and they are welcome to attend regularly. The Shelter Manager shall provide input to the Board on any policy and procedure areas that shall be reviewed or changed to increase opportunities to achieve our goals by sharing suggestions with the CHA Board President and/or adding agenda items to CHA board meetings. The shelter manager will also need to show initiative, work autonomously, and be willing to seek a variety of training opportunities to develop needed expertise for the role. The following duties are normal for this position and are not exclusive or all-inclusive. Other duties may be required and assigned. Hours are generally 40 hours per week with some emergency response responsibilities. Some weekend and evening hours required.

Principal Duties and Activities:

  • Responsible for supervising all Shelter employees, maintaining a professional and appropriate supervisor-employee relationship without fraternization. The Shelter Manager is also responsible for the use of staff in a cost effective manner.
  • Responsible for supervising all volunteers and ensuring that all volunteers have been provided proper training for animal handling, use of equipment and cleaning procedures and that training has been documented.
  • Reviews and evaluates shelter staff performance regularly and as needed if performance does not meet established standards, and documents this in writing at least once/year. Shall keep accurate records on each employee sufficient to permit termination with cause if employee is not meeting job requirements.
  • Responsible for hiring and training all shelter staff and completing required paperwork including I-9 and tax forms.
  • Responsible for daily financial records, recording and making deposits daily to weekly in which transactions occur, retaining receipts for purchases, van use logs, and maintaining records of debit card and checkbook use.
  • Be responsible for record keeping of adoptions, surrenders, strays, office filing, office operations, and office communications (telephone, emails, and faxes).
  • Handle and oversee adoptions to determine that all adoption procedures are handled in accordance with our policies.
  • Make final decisions on animals believed suitable for adoption and on animals that must be euthanized per the policies of the Board of Directors.
  • When applicable, report suspected animal abuse to the Sheriff, Police Department and/or Animal Control officer.
  • Respond to on-call responsibilities to make sure the shelter is covered 24/7 for emergencies (i.e. animal health emergencies, urgent law enforcement situations after hours).
  • Establish and maintain effective working relationships with law enforcement agencies, township officials, Health Department, District Attorney’s Office, other humane associations, and the public.
  • Administer medications and vaccinations and maintain appropriate inventory at all times.
  • Secure appropriate assistance and/or skills to maintain diagnosis of minor health issues at the shelter.
  • Attend professional development opportunities available as provided by the CHA budget.
  • Participate in community activities to help promote the shelter.
  • Responsibilities include seeing that buildings, furnaces, washers, dryers, vehicles, and other equipment are not abused and are kept in good repair with maintenance requirements followed per owner’s manuals and that repair records are documented.
  • Responsibilities include seeing that lawn mowing, snow shoveling, and other ground maintenance is performed and that the grounds are free from litter, dog feces, garbage, and ensure that all holes in the ground are filled.
  • Seek to keep all operating costs reasonable at the shelter to assist in budget management.
  • Provide a safe working environment free from drugs, alcohol, violence, and disease.
  • Immediately inform the Board of Directors President about any bite incidents, media, fundraising, and abuse/neglect contacts.

Minimum Qualifications: Essential Knowledge and Abilities

  • Passion for working with animals
  • Basic experience working with animal health issues
  • Strong customer service/people management skills
  • Ability to work autonomously and seek any needed knowledge to perform duties
  • Knowledge of computers software operating systems and hardware, and other office equipment.
  • Administrative experience and ability to organize records/financial operations/equipment
  • Supervision and hiring experience
  • Strong verbal/written communication skills
  • Ability to lift 50 lbs unassisted
  • Possession of a valid driver’s license and a good driving record.

Could be considered an asset in hiring decisions:

  • Budget Management experience
  • Knowledge of animal welfare, advanced knowledge of health needs, and shelter laws
  • Associate or Bachelor’s degree in related field
  • Experience as a vet tech, vet assistant, or prior shelter operations experience

Remuneration: $40,000 annual salary or commensurate with experience

Start Date: 11/15 or negotiable
