POSITION ANNOUNCEMENT

Position Title: Human Resources Assistant (Civilian)

Department: Human Resources

Salary Range: $43,000 - $53,800 annually. Salaries are paid biweekly.

Opening Date: March 28, 2023

Closing Date: April 14, 2023

FLSA/Career Status: Non-Exempt/Classified

Work Schedule: 40-hour work week (M-F 8am-5pm)

The Poudre Fire Authority was first organized in 1880 as the volunteer Collins Hook and Ladder Company, later becoming the Poudre Fire Authority of today in 1981. We serve an approximate population of 213,000 residents throughout Fort Collins, Laporte, Timnath, Bellvue, Horsetooth, Redstone Canyon, and parts of unincorporated Larimer and Weld counties. As well as the thousands of visitors that travel to the area for our outdoor recreation, breweries, music and entertainment, history, nature views, innovative parks, and to visit Colorado State University.

We are made up of 13 stations that are strategically located throughout the 230 square miles we serve. Our organization provides fire protection services, emergency medical response, fire suppression, Haz-mat response, technical rescue (water, ice, rope, confined space, and trench rescue), wildland fire response, volunteer firefighter program, fire investigations, inspection services, and public affairs and education. Out of 29,452 U.S. fire departments, we are one of 309 that are internationally accredited through the Center for Public Safety Excellence (CPSE).

Summary

Works to support the Human Resource (HR) functions of the Poudre Fire Authority (PFA). Performs a variety of administrative tasks in support of HR programs including recruitment, hiring, payroll, leaves management, workers compensation, maintenance of employee records, and reporting.

Essential Duties and Responsibilities

The following duties and responsibilities are illustrative of the primary tasks of this position and are not intended to be all-inclusive:

  • Promptly responds to employee and applicant inquiries, providing excellent customer service. Answers basic employee questions about pay, leaves, and HR policies and programs.
  • Supports recruitment and hiring activities by coordinating recruitment, scheduling interviews, developing materials, and arranging for new hire orientations, or training sessions.
  • Process vendor payments related to hiring, recruitment, and career development.
  • Collects and reviews internal job descriptions and posts job openings to social media, websites, job boards, or professional career sites.
  • Reviews resumes, may conduct initial application or phone screens, and schedule in-person interviews with hiring managers.
  • Checks references or employment history, authorizes background checks, and prepares offer letters or rejection notifications. Tracks recruitment and background status. Notarizes legal documents.
  • Processes employee status forms, pay change forms, and contract amendments; maintains records of completed transactions. Reviews all information for accuracy prior to processing.
  • Inputs HR-related data into multiple HRIS systems or spreadsheets and compiles standard reports for management review.
  • Processes biweekly personnel changes. Enters, reviews, and audits personnel, payroll, FMLA leave, and benefit changes; corrects errors independently when necessary and within assigned time frames; explains payroll calculations and/or requirements as necessary to all levels of PFA personnel. Maintains outstanding communication throughout.
  • Documents and maintains records regarding pay and personnel changes, policies, and procedures. Maintains seniority rosters.
  • Verifies that pay requests and documentation comply with applicable personnel policies and compensation policies.
  • Monitors compliance with PFA rules and regulations, collective bargaining agreement, policies, and applicable laws and regulations.
  • Maintains accurate and organized employee personnel files and other confidential personnel records. Monitors record retention and disposition of records and files.
  • Maintains excellent relationships with internal and external partners, recruits and supporting vendors.
  • Performs general office duties including filing, scanning, copying, collating, and shredding.
  • Works a 40-hour workweek. Schedule may include occasional overtime.
  • Performs other duties as assigned.
