The HR Service & Satisfaction Agent will perform data entry and data maintenance for University HR systems. This position functions in a data intake and entry level role, and serves as the link between Talent Acquisition, Human Resources Information Systems (HRIS), Payroll, and other university departments. The incumbent will provide data entry and limited, supervised maintenance of employee records with in HR systems, and will provide supervised support to the HRIS staff in routine reporting and tracking of data. In addition, the position will scan documents and provide other systems and clerical services to support record digitization, archival and disposition. The incumbent may perform other administrative or clerical duties as assigned.

The incumbent will provide front-line employee-centric support to all new employees and therefore must have effective communication and customer service skills. Customer service can take the form of in-person interactions and phone calls.

The duration of this assignment is for 2 years, it can be lengthen or shorten at the discretion of the University.
ResponsibilitiesData Entry and Intake:

  • Works closely with HR Talent Acquisition, and Payroll teams to receive, verify, and input relevant staff, administrator, limited-term, student and academic employment source data and documentation pertaining to hiring, termination, employee status changes and special compensation entry in HR systems.
  • Meets with new employees to complete the new hire paperwork process
  • Collects and verifies various hiring and personnel related documentation
  • Provides assistance and customer guidance for personnel documentation intake.

Document/Record Digitization and Maintenance:

  • Administrative support in the scanning and storage of documents, records and other HR related materials.
  • Assists in document disposition and record retention/destruction processes.

Clerical/Administrative Support:

  • Other supervised clerical and administrative support duties as assigned.

Required Qualifications

  • AA and/or 3 years of relevant experience.
  • Effective Communicator – provides regular, consistent, and meaningful information; listening carefully to others and ensures messages are understood.
  • Demonstrated technical skills to learn and become efficient in using different enterprise systems an stand alone tools
  • Analytical and critical thinking skills, attention to detail and the ability effectively communicate to a diverse group of constituents.
  • Time management skills to effectively achieve and prioritize multiple tasks and an ability to maintain patience, focus, and perspective in a results-oriented, fast-paced environment.
  • An ability to use discretion and maintain a high level of confidentiality
  • Commitment to diverse and inclusive engagement and an ability to connect with others and cultivate relationships based on mutual trust and respect, collegiality, and kindness.
  • Capacity to handle difficult or volatile situations/individuals effectively.

Desired Qualifications

  • Bachelors degree is preferred.
  • Experience supporting work teams in administrative or clerical setting is highly preferred.
  • Experience in a higher education or human resources is preferred.
