HR Coordinator Job at SARGENT CORPORATION
POSITION SUMMARY:
The Human Resource Coordinator will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource and benefits team, including record-keeping, file maintenance and HRIS entry.
ESSENTIAL JOB FUNCTIONS:
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Maintains the integrity and confidentiality of human resource files and records.
- Performs periodic audits of human resource files and records to ensure that all required documents are collected and filed appropriately.
- Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
- Schedules meetings and interviews as requested by the Human Resource Manager.
- Conducts or assists with new hire orientation.
- Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Assists Benefits Manager with administration of health and welfare plans, including enrollments, changes, terminations, COBRA and FMLA compliance.
- Provides clerical support to the human resource and benefits team, to include making photocopies, preparing mail documents, sending emails, scanning and shredding as requested.
- Performs customer service functions by answering employee requests and questions.
- Assists with processing of terminations.
- Assists with the preparation of the performance review process.
- Files documents into appropriate employee files.
- Assists or prepares correspondence as requested.
- Prepares new-employee files.
- Performs other related duties as assigned.

REQUIRED SKILLS/ABILITIES:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite.
- Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
- Working understanding of human resource principles, practices and procedures.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently and reliably.
- Flexible and adaptable in various situations and when interacting with many different personalities.
- Ability to organize and prioritize tasks including delegation of tasks when appropriate.
- Ability to quickly acquire understanding of the roles and functions of human resources, and any specifically applicable laws or guidelines.
DESIRED EDUCATION/EXPERIENCE:
- Minimum High School Diploma or GED; associate degree or higher in related field (human resources, finance, business management, business administration) preferred.
- One to three years of experience in a related role preferred.
- Prior experience preparing, maintaining, and updating employee data in HRIS preferred.
PHYSICAL AND ENVIRONMENTAL REQUIREMENTS:
This job operates in an office environment and requires prolonged periods sitting at a desk and working on a computer. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines. This position requires 20/40 vision with or without corrective lenses and the ability to lift up to 15 pounds at times.
