Late Afternoon/Evening Hospital Services Manager
Summary:
The Hospital Services Manager (HSM) is responsible for all facets of hospital operations in the late afternoon/evening (3pm-11pm). The HSM will manage, evaluate, advise, supervise in partnership with the day HSM’s and Hospital Director. Areas of responsibilities encompass operational planning, creating an optimal client experience, training of staff, scheduling, interviewing, hiring, and corrective actions plans to include terminations. Precise documentation skills and the ability to understand and enforce Hospital and Ethos policy is expected. The Late Afternoon/Evening HSM will be the primary lead for the ER and ICU, OSHA and Safety.
Reports to: Hospital Director
Direct reports: Clinical Supervisors and Client Care Supervisors associated teams; assigned departments DVMs (non-clinical matters).
The Hospital Services Manager carries out the following responsibilities directly or through supervisors and staff:
Responsibilities:
- Direct the daily business affairs of the hospital and perform day-to-day problem solving in all aspects of the hospital’s interests.
- Facilitate, document and ensure proper communication and information flow with corporate teams, other HSM’s, Hospital Director, other hospital departments and shifts.
- Ensure compliance and accountability for all standard hospital operating procedures.
- Ensure that all activities and operations are performed in compliance with local, state, and federal regulations and all applicable laws governing business operations.
- Engage in real-time resource allocation to develop staff schedules (clinical and non-clinical) to assure maximum productivity and service while managing labor against budget.
- Work in collaboration with the hospital medical director and ER doctor lead to ensure effective deployment of medical services within the department(s).
- Regularly assess the efficient and effective flow of clients and pets through/in the department while also ensuring proper care from arrival through discharge and follow-up.
- Evaluate the needs for the department and recommend appropriate resources to meet those needs (equipment, staffing, etc.).
- Ensure all department work areas are clean, attractive, functional, safe (OSHA compliant) and hospitable for staff, patients and clients.
- Ensure all equipment is appropriate and in good working order and receives regular required maintenance.
- Participate in evaluating financial and benchmarking information/measurements to ensure best management of the department(s) and achievement of business goals.
- Participate in the budget process and manage department expenses with particular focus in the Emergency Room and ICU.
- Work in collaboration with corporate teams in finance, human resources, marketing, supply management, and business development to ensure the department’s goals are met.
- Develop and build teams. Encourage and build mutual trust, respect and cooperation among team members, incorporating the company’s vision, mission and core values.
- Initiate recruitment with Talent Acquisition/People and Organization of approved requisitions. Participate in the recruitment, interview and hiring for all open staff positions.
- Set production and performance standards and follow-up through monitoring, assessing, reviewing and evaluating employee performance (non-clinical performance) based on established standards. Recommend promotions, awards and corrective actions as needed within assigned department(s).
- In collaboration with the Medical Director and Hospital Director, schedule and participate in timely doctor performance reviews as appropriate.
- Ensure appropriate training for all department(s) staff including an exceptional understanding and delivery of customer service and hospitality.
- Develop and facilitate appropriate staff/department meetings preparing agenda and minutes for distribution and recording for the evening and overnight shifts.
- Participate in day shift meetings and activities when requested by Hospital Director.
- Work in collaboration with the Hospital Director to facilitate change management in the hospital.
- Serve as mentor and coach for any/all staff requiring development and assistance in non-clinical matters (supervising, relationships, etc.).
- Resolve/approve any payroll matters through supervisors or directly, as needed.
- Report Workers’ Comp claims promptly.
About you:
- CVT with a minimum of 5 years’ experience.
- 1-2 years management experience in veterinary medicine preferred but not mandatory. The candidate must be willing to work in a clinical environment with excellent communication and interpersonal skills.
