POSITION SUMMARY:
The Grant Specialist (Revenue Cycle) handles various daily responsibilities associated with billing, collecting and accounting for grants and contracts. This position ensures timely, accurate and compliant billing and collection of all revenues including government grants, fee-based services and other ancillary revenues. This position also maintains accurate accounting records and documentation related to the billing and collections function.
MAJOR FUNCTIONS/ACCOUNTABILITIES:
- Verifies the information for vouchers/ invoices is correct prior to submitting bills; contacts the appropriate person to obtain missing or unclear billing information.
- Submits vouchers and invoices to funders/ customers using a variety of methods including internet web sites, email and mail, ensuring that all information required by the funder/customer is complete and accurate. Attaches all required documentation for payment.
- Records all submitted vouchers and invoices in the accounts receivable subledger immediately following submission.
- Monitors and reviews open account receivable to identify adjustments, refunds, and write offs. Maintains clean and accurate accounts receivable balances by processing adjustments and refunds and requesting approval for write offs timely.
- Accesses computerized financial information to answer general questions as well as those related to specific accounts and balances.
- Prepares and submits reports and performance metrics to the Program Director regularly.
- Follows up by phone and/or email on all unpaid vouchers/ invoices as well as any payment discrepancies. Determines next course of action, which may require rebilling or sending additional information. Maintains meticulous documentation of all follow up and next steps.
- Responds to and interact with funders/ customers concerning all aspects of billing through phone, email or regular mail in a prompt and courteous manner. Handle funder/ customer questions and/or concerns as needed. Completes all necessary follow-up in a timely manner so the payment process will not be delayed.
- Takes accountability for ongoing learning and development; maintaining current knowledge of funder processes and compliance requirements.
- Complies with federal, state, and company policies, procedures, and regulations.
- Perform general office duties, such as filing, answering telephones, and handling routine correspondence.
- All other duties as assigned.
Qualifications:
Education/Certification:
- Associates degree or equivalent combination of education and experience required.
Experience Required:
- 2 or more years of related work experience required.
- Experience with government grants strongly preferred.
Required Knowledge:
- Excellent computer knowledge and skills, including intermediate to advanced skills using Microsoft Excel, Word and Outlook, accounting systems and the internet.
- Knowledge of government grant terminology, requirements and processes.
- Knowledge of basic accounting principles and processes.
- Knowledge of accounting software a plus.
Skills/Abilities:
- Excellent organizational skills and ability to prioritize and coordinate workload with high degree of proficiency and accuracy.
- Excellent and accurate calculator, and computer skills including proficiency in the use of Microsoft Excel, Microsoft Word, Microsoft Outlook.
- Must be extremely accurate with attention to details, policies, and procedures.
- Comfortable utilizing the payers’ online portals as well as calling payers and escalating calls to manager as needed.
- Strong judgment skills; capable of making decisions with attention to detail.
- Strong analytical and problem-solving skills.
- Ability to work easily and cooperatively with other departments
- Ability to work independently and follow through on tasks without direct supervision
- Ability to work well under pressure in a flexible, diplomatic and expeditious manner

Job Type: Full-time
Pay: $48,000.00 - $55,000.00 per year
