Graduate Student Assistant – Data Abstractor (Hybrid) Job at University Enterprises, Inc.
The California Department of Public Health (CDPH) is seeking to hire three graduate student assistants (GSA) for the Data Abstractor position. In a training capacity, within the CDPH Injury and Violence Prevention Branch (IVPB), which is a branch in the Center for Healthy Communities, the graduate student assistant (GSA) will be working with the National Violent Death Reporting System (NVDRS), funded by the Centers for Disease Control and Prevention (CDC). The GSA will assist with abstraction of data from coroner, toxicology, and law enforcement reports and will enter this data in the NVDRS for the purpose of understanding the causes of homicide, suicide, and unintentional firearm deaths; as well as development of materials that can be used by external entities (e.g., local health departments) to guide prevention efforts (e.g., strategies to prevent violent death).

This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Prerequisites
Must be a college student attending classes during the regular term (fall, spring, and winter, if applicable) at an accredited college or university.

Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Work Schedule
F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.
Additional Work Schedule
Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).
Minimum Qualifications
- Must be comfortable working with sensitive death-related data.
- Well organized with the ability to work independently to accomplish assigned tasks accurately and by established deadlines.
Preferred Qualifications
- Experience with Microsoft Excel and Word.
- Experience with data abstraction or data entry.
Duties and Responsibilities
- Obtain access to the Centers for Disease Control and Prevention (CDC) Secure Access Management System (SAMS) where National Violent Death Reporting System (NVDRS) is housed. Learn and implement proper data abstraction techniques for the CDC NVDRS in order to conduct data entry of Coroner/Medical Examiner, Toxicology, and Law Enforcement reports from various participating California counties. Data is reviewed from reports and information is entered into NVDRS. Follow security standards for working with sensitive data and proper tracking procedures.
- Assist with ongoing development of data abstraction training materials and evaluation of current protocol and processes to improve and streamline current methods. Assist with the attainment of Coroner/Medical Examiner, Toxicology, and Law Enforcement reports to increase statewide participation in California’s Violent Death Reporting System (CalVDRS). Attend and contribute to CalVDRS led data abstraction meetings to learn about updates and have questions addressed in a roundtable setting.
A ssist the NVDRS program and other Injury and Violence Prevention Branch (IVPB) staff to review and revise data management agreements, protocols, and procedures for acquiring, preparing, and storing data in order to maintain efficient, accurate, and current data. Identify and participate in CDC led data abstraction trainings and resources to stay up to date with data entry procedures and unique coding scenarios.
Contribute technical input to various IVPB staff projects as requested which may involve review of documents, formatting assistance, and data summarization (depending on career interest and previous experience).
Shadow staff working throughout IVPB to learn the internal and external processes of the branch, the different programs within IVPB, and how injury and violence prevention is an important part of public health. Available staff to shadow in IVPB include epidemiologists, health education consultants, etc. Attend appropriate Branch, Section, and Program level meetings and provide findings to necessary parties upon request.
Performs other duties as assigned, to include, filing, photocopying, and coordinating the set-up of meetings, presentations, and webinars.

Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.
Working Conditions
Work is mostly performed remotely. Of three positions, two will be 100% remote with one requiring one day each week onsite in Sacramento.
We are open to candidates all around California, however we would like one candidate to be local to Sacramento and be able to work-in-office once a week as not all data is accessible off-site. The candidate will need access to data that cannot be accessed off-site.
