The Front Desk Representative Essential Duties and Functions:

We are looking for a Full-Time Front Desk Representative for several of our offices, including our Downington, Exton, and Paoli, PA locations, and who want to join our amazing team!

The Front Desk Representative is responsible for providing outstanding customer service in greeting patients and checking them in for appointments.

A few responsibilities of the Front Desk Representative include but are not limited to:

  • Greets patients in a pleasant and positive manner in person or on the telephone; answering or referring inquiries.
  • Take and forward messages as appropriate.
  • Accurately and quickly processes patient requests.
  • Keeps patient appointments on schedule by notifying provider of patient’s arrival.
  • Answer patients’ questions in a comprehensive and helpful manner.
  • Maintains patient accounts by obtaining, recording and updating personal and financial information; collect information or distribute patient forms including HIPAA, Records Release, Demographics, Meaningful Use and Medical Intake.
  • Ensure forms completion for Physician and prepare paperwork for Medical Assistant.
  • Collect patient balances and copays and update Demographic and Financial information in the system as needed.
  • Check patients out; check in the Practice Management System for next appointment for that patient and determine if it should be kept, cancelled or altered. If appointment needs to be scheduled choose correct slot and fill out appointment card for patient.
  • Ensures compliance with all health care regulations, including HIPAA and OSHA.

The Front Desk Representative Qualifications:

  • Candidate must have at least 1+ year of Front Desk/Receptionist experience. Experience in a physician or healthcare setting highly preferred.
  • High school diploma or GED required.
  • Exceptional customer facing verbal communication skills with a proven ability to interact effectively with a variety of external and internal constituents.
  • Must be responsive and demonstrate accuracy and attention to detail in work.
  • Computer Proficiency; experience with Allscripts or another Electronic Medical Record (EMR) highly preferred.
  • Ability to work with teammates.
  • Must have attention to detail with an eye for accuracy.
  • Creative, self-disciplined and capable of identifying and completing critical tasks independently and with a sense of urgency.
  • Exhibit exemplary customer service skills.
