Position Summary:
The owner of this role will be responsible for answering phones, greeting employees, vendors, customers and general guests in conjunction with other general office duties. Located in the downtown office, this CONTRACT position has high visibility and requires a professional and positive demeanor.
This position will be considered for a contract to direct hire role.
Responsibilities of the role will include:
  • Answering phones and transferring calls via the main switchboard
  • Managing calendar for conference rooms
  • Sorting and dispersing mail
  • Setting up Teams meetings
  • Preparing shipping labels for USPS and UPS shipments
  • Maintaining inventory of refreshments and office supplies
  • Daily stocking/replenishment of supplies and drinks in 5 break rooms throughout the office
  • Assisting Executive Administration team as needed
Requirements
  • Must have 1 to 2+ years of previous experience as a receptionist in a mid-size to large organization/corporation
  • Must be proficient with Microsoft Outlook and Teams
  • Must have strong verbal and written communication skills
  • Must be a people savvy and have a desire to helpfully assist those in need
  • Must be able to operate a switchboard
  • Must be able to prepare shipping labels
  • Must be able to multi-task
  • Must be able to lift up to 40lbs, walk, sit, kneel, carry, bend and stoop throughout the work day
  • Must be an excellent team player and display a pleasant and professional demeanor at all times
  • Demonstrate proficiency with MS Office, especially MS Outlook.
  • Good understanding and capability of managing and completing the online ordering of supplies
  • Must be detail oriented, self-motivated, anticipate work to be done and work with minimum supervision and have strong follow up skills
Education:
  • High school diploma or general education degree
