University Police and Public Safety is looking for a detail-oriented Financial Assistant to join the team. This position is vital to ensuring timely and accurate processing of financial transactions that impact campus police stations across the commonwealth. This role will be responsible for maintaining sound fiscal practices and procedures to allow consistent processing of all financial transactions as well as ensuring accuracy of the associated reporting. This position is a central link connecting the University Police with various local, state and federal policing agencies, outside vendors, University-wide departments, as well as Penn State personnel to include students, faculty, and staff members.

Responsibilities will include a variety of administrative functions such as:

  • Serve as the expert for purchasing, financial and travel transactions
  • Purchasing responsibility as well as the reconciliation of all purchases made
  • Establish and maintain office files and provide general office support to UPPS Leadership
  • Maintain all financial (SIMBA) budgets which also involves creating and closing internal orders and cost centers as needed
  • Serve as proxy for the Financial Officer (FO) for people management software, financial software and travel payments
  • Assist FO in projects not limited to reports on budget and overtime

The successful candidate must possess:

  • The ability to be detail oriented in matters such as applying University and department policies as well as the collective bargaining agreement
  • Excellent written and verbal communication skills, and the ability to work with minimal supervision
  • Ability to use good judgment when dealing with sensitive and confidential information
  • Experience processing financial transactions and supporting budgets
  • Excellent skills utilizing Microsoft Office programs such as Word, Excel, Teams and PowerPoint

This position will work in various University databases and software programs including, SIMBA (System for Integrated Management, Budgeting, and Accounting) , Workday/Worklion (people management system), SAP/ Concur(travel), and POSS (scheduling software).

This position is located at the University-Park campus, however, provides support to campuses across the commonwealth. This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

Typically requires a High School diploma or higher plus five years of related experience, or an equivalent combination of education and experience.

A fingerprint background check will be required to work within the Police facility in addition to standard background checks.
