Overview:Western Michigan University Homer Stryker M.D. School of Medicine is recruiting an Faculty Affairs Coordinator. Responsible for providing full range of administrative project coordination and assistance for the Office of Faculty Affairs and to the associate dean for Faculty Affairs.

Responsibilities:
- Provides administrative project coordination and assistance to the associate dean for Faculty Affairs and the Office of Faculty Affairs
- Manages the faculty appointment process and electronic system for all new faculty appointments, track and classification changes, and promotions including the triennial reappointment process.
- Serves as the faculty information system leader who interacts with WMed IT and the vendor to resolve technical issues, requests enhancements, and ensures system is accessible by faculty and other key individuals.
- Serves as the primary point of contact for faculty data for reporting to the Board of Directors and other internal and external stakeholders. Runs reports for individuals or departments as needed.
- Prepares and/or formats policies, procedures, and forms relating to faculty appointment process and system. Updates the system as required with documentation provided by faculty or the Office of Faculty Affairs.
- Trains and supports faculty to use the online system effectively including developing any training materials.
- Manages the Office of Faculty Affairs/faculty development presence on website.
- Tracks all faculty development presentations and events, and other activities of the Office of Faculty Affairs.
- Coordinates all faculty development events including applying for continuing education credit, securing event locations, ensuring all set up and clean up are arranged to the satisfaction of the presenters, and communicating and promoting events.
- Coordinates the WMed Institutional Appointment and Promotion Committee, attends meetings, takes and issues meeting minutes, and supports the work of this committee and the chair.
- Coordinates WMed Faculty Academic Council, arranges meeting agenda with chair, attends meetings, takes and issues meeting minutes, and supports the work of this committee and the chair.
- Coordinates WMed Faculty Meetings, arranges meeting agenda with dean, attends meetings, and takes and issues meeting minutes. Arranges all logistics for the two evening faculty meetings.
- Coordinates meetings, attends, and takes minutes as needed for work groups within the Office of Faculty Affairs.
- Provides administrative support to the Office of the Dean, as requested.
- Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
- Acquires knowledge for new technology and policy/procedure revisions.
- All other duties as assigned.
Qualifications:
- High School diploma required; Associate’s degree or Bachelor's degree preferred, plus minimum three year’s administrative assistant experience.
- Knowledge and proficiency in word processing and file management using Word, Excel, and other software as required by the department.
- Knowledge and proficiency in grammar and spelling skills. Ability to effectively communicate with others verbally and in writing.
OTHER SKILLS AND ABILITIES:
- Knowledge of basic medical terminology, contractual matters, policy development, and compliance issues.
- Ability to interpret, comprehend, and transmit complicated and detailed instructions accurately.
- Demonstrates the ability to recognize priorities in organization of work flow.
- Ability to meet assigned deadlines.
- Able to perform duties independently, with a minimal need for direct supervision.
- Ability to operate automated standard office equipment such as multi-line phone system, copier/scanner, shredder, etc.

WMed Health is the clinical practice of the medical school with more than 300 providers offering comprehensive primary care and specialty services in several locations throughout Kalamazoo, Portage, and Battle Creek. The Department of Pathology faculty serve as the Office of the Medical Examiner for counties throughout Michigan and northern Indiana.
The W.E. Upjohn M.D. Campus located in downtown Kalamazoo serves as the primary educational facility with faculty and administrative offices, student study and social spaces, team-based learning halls, a state-of-the-art Simulation Center accredited by the Society for Simulation in Healthcare, basic science research labs, as well as toxicology and forensic pathology labs.
