Position Summary:

The role of the Faculty Administrative Assistant is to support the day-to-day operations of the advocacy department, legal research and writing department, faculty, adjuncts, and internal and external law school programs. This position requires working with the directors of trial and competitive advocacy, together with full-time and adjunct faculty, law school staff and trial advocacy students and competitors. This will involve providing administrative and clerical services for members of the faculty and doing logistical work to assist the advocacy department with travel planning, event coordination, and alumni engagement. The Faculty Administrative Assistant will play an integral role in coordinating, supporting, and implementing programing and competitions – both internal and external put on by the advocacy department. In addition, the position involves assisting students as needed and collaborating with other law school and university departments as part of their routine work. This position requires flexibility, strong organizational and multi-tasking abilities. The Faculty Administrative Assistant will also be available, as needed, to the Academic Dean pertaining to academic projects and functions, such as final examinations. The person in this highly visible office setting must demonstrate upmost professionalism, exercise common courtesy, accuracy, efficiency, and maintain a cooperative relationship with faculty, staff, students, and visitors.

Essential Duties and Responsibilities:

  • Provide administrative and clerical support primarily for the Directors of Trial Advocacy and Competitive Advocacy, LRW faculty, Trial and LRW adjunct faculty, and competitive advocacy coaches, and will also assist, as needed, other faculty and/or guest lecturers
  • Make competition travel arrangements – including domestic and international travel
  • Prepare detailed travel itineraries and travel bags for coaches and competitors
  • Prepare expense reports and manage travel reimbursements for advocacy faculty, coaches, and students
  • Copy/print advocacy materials for faculty, administration, and advocacy students as requested
  • Compose and/or edit routine correspondence on behalf of faculty and administration
  • Maintain the advocacy suite and adjacent courtrooms in tidy, welcoming condition.
  • Handle courtroom scheduling and monitor usage
  • Respond promptly and courteously to all phone, email and in person inquiries
  • Process incoming and outgoing mail for advocacy and LRW suites
  • Monitor, order and maintain advocacy department office supplies
  • Maintain calendars, schedule and coordinate appointments and meetings
  • Add class announcements/information to Blackboard software
  • Proctor final exams, process and run exam reports from EBB, and deliver for grading purposes
  • Order complimentary copies of textbooks for professors, as needed
  • Serve as liaison to campus offices requiring university communications – business office, provost, registrar, bookstore, library, etc.
  • Uphold and abide by Campbell University policies and procedures, including, but not limited to; Title IX, and FERPA guidelines
  • Maintain a professional appearance and demeanor at all times
  • Other job related duties, responsibilities and activities may change or be assigned at any time with or without notice

Education/Experience:

  • Associates degree, or the equivalent in education and experience required; Bachelor’s degree preferred
  • Administrative, clerical, or organizational experience in a professional office setting preferred
  • Knowledge and experience in managing logistics, travel, and schedules desired

Knowledge, Skills, and Abilities:

  • Demonstrate kindness, tact, a positive attitude, courtesy and discretion in working with faculty, staff, students, and the public
  • Detail oriented and able to produce highly accurate work
  • Ability to set priorities, organize, coordinate duties with other administrative personnel, and work under pressure in a dynamic environment
  • Excellent written communication and proofreading skills for preparing correspondence, documents and reports, utilizing correct spelling, grammar and punctuation
  • Superior verbal and interpersonal communication skills for effectively interacting with individuals at various levels within the organization
  • Proficiency with Microsoft Word, Outlook, Excel and the Internet
  • Excellent computer skills including the ability to learn and use University data systems
  • Ability to exercise good judgement in sensitive, complex and/or new situations
  • Ability to maintain confidentiality at all times
  • Self-motivated, with the ability to anticipate needs and initiate action
  • Manage multiple, concurrent projects, and meet strict deadlines
  • Work independently as well as function effectively in a team within a diverse group of people
