Under the general supervision of the Director of Facilities and Expansion Initiatives, the Facilities Coordinator serves as an administrative support member supporting the growth and development of all Westcliff University campuses. The Facilities Manager will ensure that campus operations run uninterrupted and that the needs of the facility are met. They will work in close collaboration with the Director of Facilities and Expansion and other senior management on special projects assigned by the President/CEO.

General Responsibilities

  • Assist the Director of Facilities and Expansion in strategic Campus Development Plans
  • Manage campus improvement projects across all Westcliff University locations
  • Assist the Director of Facilities and Expansion with records and documentation
  • Manage the physical and digital storage of regulatory documents
  • Maintain a calendar of events pertaining to projects, timelines, and deadlines for regulatory action for all locations
  • Assist the Director of Strategic Initiatives in the collection of information for regulatory applications
  • Work with different vendors to maintain or improve plans
  • Facilitate internal communication (e.g. distribute information and schedule presentations)
  • Handle all facilities-related issues and responsibilities
  • Maintain office equipment and contact appropriate vendors to troubleshoot issues as needed
  • Identify all procurement and vendor service needs of the location.
  • Act as a point of contact for office building management and communicate issues and updates as needed
  • Complete special projects as assigned by the Director of Facilities and Expansion
  • Assist in planning events for Westcliff University Facilities
  • Ensure Campus File and Storage rooms are maintained and meet compliance
  • Handle other duties or projects as needed

Client Retention & Satisfaction

  • Ensure pro-active communication with client regarding opportunities to improve operations.
  • Resolve client requests, concerns and issues diplomatically.
  • Monitor facility maintenance for cleanliness standards and make recommendations to improve the aesthetics of the facility.

Safety & Risk Management

  • Monitor and review all damage claims. Recommend and implement plans or programs to improve safety of operations to prevent the occurrence or reoccurrence of similar claims.
  • Implement all policy and procedures to ensure compliance with all OSHA laws.

Qualifications

  • An energetic professional who doesn’t mind wearing multiple hats
  • Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision
  • Excellent organizational, interpersonal and time management skills
  • Ability to execute and follow-through to completion and documentation
  • Ability to interact and communicate professionally and effectively with individuals from multiple departments at all levels of the organization as well as third parties
  • Ability to analyze legal and business challenges
  • Excellent speaking and writing skills
  • Be proactive, meet deadlines and communicate effectively and timely on a daily, weekly and monthly basis
  • Possess a basic understanding of business law, and relevant regulations
  • Familiarity with online calendars and cloud systems
  • Ability to handle confidential and sensitive materials, as well as those that require analyzing before composing detailed reports to the President/CEO
  • Well versed in Microsoft Office and/or Google Drive suites

Education and Experience

  • Bachelor’s degree in administration or equivalent
  • Prior experience in project management
