Executive Assistant to the Upper School Director | Full Time Job at Lakeside School
- Manage the Upper School Director's calendar, short and long term; preparing advance materials that may be needed for upcoming meetings; setting dates early in the summer before the next school year and ensuring that annual meetings (and any reschedules) are accurately reflected in the master calendar; anticipate calendar needs several months or more in advance to ensure that ongoing scheduling of annual administrative tasks (e.g., faculty evaluation and curriculum development process) is proactive and effective
- Create the Upper School calendar for the school year and update Upper School events on the Lakeside web page
- Prepare (copy edit and format) Upper School Director's correspondence
- Liaise and work closely with individuals, school offices, and other institutions on the Upper School Director's behalf as assigned
- Plan and track the Upper School Director's annual budgets and help distribute budget reports for all Upper School budgets
- Maintain the Upper School Director's and main office’s records, sorting and filing in accordance with the school’s document retention policy
- Greet and screen all visitors and phone calls for the Upper School Director
- Provide administrative assistance by taking meeting minutes, formatting/distributing meeting agendas and minutes as assigned
- Coordinate Upper School faculty evaluation process, including preparation and sorting of survey and feedback forms
- Track and record all Upper School employee time off and absence requests while working with department heads to arrange substitute teaching coverage, when needed
- Work with human resources to schedule candidates for semi-finalists and finalist interviews
- Coordinate Upper School substitute teacher scheduling and on-boarding process
- Create and provide the Communications Department with summer family and faculty electronic mailing documents (this includes a letter from the Director, contact lists, key dates, and calendars)
- Provide event planning support for special Upper School and all school events (e.g. Back to School Night, parent/guardian coffees with the administration, etc.)
- Participate with the emergency response team, as necessary
- Handle special projects as needed by the Upper School Director
- A bachelor’s degree in liberal arts, business, or communications is preferred; a certificate or master’s degree in a field useful for the required job skills will be an advantage.
- Two to four years of experience in a similar position is preferred, ideally in education though backgrounds in corporate, nonprofit, or governmental sectors will be acceptable.
- Demonstration of cultural awareness, including knowledge of themselves and the culture lenses they bring to interactions.
- An understanding of different perspectives, the ability to interact respectfully with cultures other than their own, and ability to cultivate meaningful relationships with people who have different cultural frameworks.
- Ability to maintain confidentiality.
- Top-quality writing, editing, and proofreading skills and the ability to take minutes of meetings accurately is required.
- Exceptional project management skills and the ability to forecast, track, and complete multiple projects and tasks simultaneously is required.
- The successful applicant must demonstrate the qualities of initiative and good judgment in the support of an executive.
- The successful applicant must possess expert ability in all facets of organizing work to be done and office systems, and demonstrate some understanding of the role and function of educational and/or nonprofit institutions.
- Computer (PC/Windows) proficiency is required which includes all Microsoft Office programs as well as Google applications.
- The position requires repetitive work, standing/sitting, and walking up stairs and to other parts of campus.
- References should speak to the candidate’s exceptional interpersonal skills; professional attitude and work ethic; flexibility and willingness to learn new skills and adapt to workplace changes; ability to manage details, be accurate, meet deadlines; and respect for keeping sensitive material completely confidential.

Lakeside School, an independent coeducational day school located in north Seattle, Washington, is currently recruiting for an Executive Assistant to the Upper School Director who is creative, proactive, energetic, hardworking, good with details, and comfortable with complexity. The position will be an exempt, full-time, non-overtime-eligible, year-round executive staff appointment beginning immediately. The typical workday is 8:00 a.m. to 4:00 p.m. Some limited after-hours, evening, or weekend work may be required.
Responsibilities
This position reports directly to the Upper School Director and works closely with the Head of School’s Executive Assistant, and Executive Assistant to the Middle School Director. The primary function of the Executive Assistant to the Upper School Director is to provide in-depth, proactive, creative, attentive, high-level assistance to the Upper School Director on calendaring, projects, initiatives, and ongoing support to the director and their team.
