Purpose of the job:
Provide administrative and organizational support to the Company senior management as directed to ensure that the Company goals and objectives are accomplished, and the business runs smoothly and efficiently by:
  • Planning, orchestrating and executing work to ensure the senior management priorities are met, organizational goals are achieved, and best practices are upheld.
  • Maintaining and refining internal processes that support to the senior management and coordinating internal and external resources.

Scope:
Executive Assistant for three to seven senior executives depending on the seniority of the executive

Principal Accountabilities/Essential Functions:
  • Manage the schedules and agendas of the senior management and act as liaison for them.
  • Arrange travel, accommodation, itineraries, and all correspondence related to arrangements as needed. Coordinate travel & entertainment expenses.
  • Arrange meetings, take notes, prepare memos and follow up on actions as required to ensure the senior management priorities are met
  • Manage senior management expenses.
  • Coordinate arrangements for a variety of company events, meetings, luncheons and employee team building activities or special projects both internally and externally.
  • Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence.
  • Support the arriving and departing logistics of assignees in the designated functions.
  • Handle information requests which require finding elements from various sources and prepare ad-hoc correspondence and reports.
  • Support budget process & process invoices, vendor creation, contracts and managing contractors
  • Secure the execution of the administrative duties during senior’s management absence in the office.
  • Handle confidential information; organize and maintain files. Ensure that the required documents are archived as per PMI RIM practice.
  • Assist with special projects that require project management skills
  • Collaborate with other assistants to improve internal process, suggest efficiencies based on the Company goals
  • Other functions may be assigned as necessary. The Company retains the discretion to add to, to eliminate, and to change the duties of the job description at any time.

Requirements:
  • Proven 8+ years of experience as an executive assistant or other relevant administrative support experience working.
  • A proactive approach to problem-solving with strong decision-making and organizational skills.
  • Collaboration skills.
  • Ability to prioritize and meet deadlines in a fast-paced quickly changing environment.
  • Strong time-management skills and the ability to coordinate multiple projects at once.
  • Project management certification is preferred.
  • Professional level of verbal and written communications skills.
  • In-depth understanding of entire MS Office suite and virtual work tools.
  • Bachelor’s Degree is preferred.
  • Legally authorized to work in the U.S.

Annual Base Salary Range: $89,120- $122,540
