Workforce Development Council of Seattle - King Countyis seeking an Executive Assistant to join their team! The Executive Assistant will support the Chief Executive Officer (CEO) and Chief of Staff and Strategy (COSS), performing a full range of administrative and executive support functions including management of scheduling and meeting calendars, editing and preparing meeting materials and agendas, communications with Board and key stakeholders, and handling confidential and sensitive information. At times, this position will provide project management level support for special assignments and initiatives.

Working alongside the Operations Manager, the Executive Assistant will be a highly resourceful team-player who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The individual filling this position must demonstrate a high level of integrity and discretion, possess strong written and verbal communication and organizational skills, and be able to anticipate and prioritize conflicting needs, problem solve, and track and follow through on projects until successful completion.

This position is primarily remote with occasional on-site work required in our Seattle office.

Some of the Key Responsibilities of the Executive Assistant:

  • Provides executive-level administrative support to the CEO and COSS. Schedules appointments and other commitments, provide background information and/or supporting documents in preparation for meetings.
  • Coordinates and processes event and conference registrations, travel and logistics for the CEO, COSS, and Board members, including completion of travel preauthorization forms, travel expense claim and credit card reconciliation, and ensure compliance with administrative policies.
  • Coordinates meeting logistics and production of Board and other stakeholder meeting materials, including tracking staff assignments and ensuring deadlines are met.
  • Manages and updates Board, committee, and agency-wide meeting calendars.
  • Maintains an efficient flow of information between internal and external contacts on a wide spectrum of the organization's plans and priorities.
  • Handles sensitive personnel and business information on behalf of the CEO or COSS with utmost discretion and care.
  • Conducts in-office outgoing/incoming mail, and copier/equipment service requests and on-going maintenance.
  • Processes and maintains personnel files, including new hire paperwork and benefits, performance evaluations, pay changes, and related activities.
  • Provides project management level support for administrative reports, cross-agency and special assignments and initiatives.
  • Demonstrates leadership in building relationships critical to the success of the organization; provides a bridge for smooth communication between the CEO, COSS, and internal staff, maintaining credibility, accountability, trust and transparency.

What the successful Executive Assistant will have:

  • Demonstrated ability to perform a wide variety of complex administrative procedures and practices.
  • Experience with the ability to organize, prioritize and complete multiple projects and deadlines with strong attention to detail.
  • Ability to work independently, exercise sound judgment in matters, and use discretion, tact, and customer service.
  • Exceptional written, presentation, and verbal communications skills, including experience with PowerPoint and integrated presentation platforms.
  • Knowledgeable in principles for writing, editing and formatting various business communication, including formal letters, emails, memoranda, and reports.
  • Intermediate-Strong level proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Publisher required; advanced level preferred.
  • Demonstrated ability to work effectively with a diverse staff across teams in a collaborative, constructive and effective manner; strong interpersonal and customer service skills.
  • Experience working directly with boards of directors, elected officials and diverse racial, ethnic, and cultural community stakeholders.
  • Ability to identify strategies and approaches to recognize and respect communication styles for working in partnership with diverse cultural environments.

Compensation Range

  • $80,000 to $100,000 annually, DOE

Workforce Development Council of Seattle - King County has outstanding benefits including:
