We are actively seeking an Executive Assistant to serve as an extension of our Executive Leadership Team to manage and coordinate support functions for the team. This position will serve as a key interface between investors, customers and executives. Position must be a US Citizen, willing to live in or near Northern Virginia, and is subject to a background check and unannounced drug testing requirements. Position will be hybrid with on-site meetings and the ability to work from home. Activities:

  • Work directly with the RegScale Executive Leadership Team (ELT) to support all aspects of their daily work routine
  • Maintain the ELT members calendars, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements/expense reports. Exercise discretion in committing time and evaluating needs
  • Serve as a liaison between the ELT, RegScale staff, and the public. This includes screening ELT phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Coordinate work and follow up on tasks as directed by the ELT; play a key role as an Action Officer in the coordination of staff efforts both within and outside the team.
  • Assist the ELT in the development of presentations in coordination with marketing for internal and external audiences
  • Keep the ELT advised of time-sensitive and priority issues, ensuring appropriate follow-up
  • Routinely perform a wide variety of support duties.
  • Sort and triage mail; maintain e-mail and other address directories
  • Schedule meetings; assist in the preparation and distribution of meeting agendas and materials, transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate
  • Prepare, reconcile, and submit expense reports
  • Maintain electronic filing systems in RegScale systems of record
  • Maintain confidential and sensitive information
  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material
  • Ensure review and approval of time entries for all staff and follow up with managers/staff for missing time, coordinate staff PTO calendar, and run periodic reports as directed by the ELT
  • Support the planning and execution of customer and staff events as directed by the ELT
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

  • You're a detail-oriented self starter with prior experience supporting multiple Executives
  • You have excellent computer skills, including Microsoft Office Suite and SaaS Office Productivity Tools
  • You have exceptional organization and time management skills
  • You are a detail-oriented task manager that can juggle many actions simultaneously while being accountable for results
  • You have exceptional writing, editing, and proofreading skills
  • You are a team player capable of cultivating productive working relationships across the company
  • You are very comfortable interacting with senior executives
  • You are energetic and eager to tackle new projects and ideas
  • You have the ability to learn new IT systems for managing onboarding and offboarding processes for staff accounts

Requirements:
  • Minimum of a Bachelor’s Degree and 5 years experience, or
  • Non-degree - minimum of 10 years experience
  • The ideal candidate will have past performance working in a startup or other fast-paced environment
  • Agile/Scrum and or Project Management certifications desired
  • Strong written and verbal communication skills while being a team player
  • Must be a US Citizen and capable of passing a background check and random periodic drug testing
  • Must be located in or near our offices in Northern Virginia or willing to relocate within 60 days of accepting the job offer
  • Must be willing to work in the office 40 – 60% of the time with flexibility to work from home the remaining percentage
