Summary:

The Executive Assistant is responsible for providing advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organizational policies and practices. The person in this role uses initiative, independent judgment, tact and diplomacy with sensitive, complex, and highly confidential business both inside and outside the company, including shareholders, analysts, investment bankers, reporters, etc. Utilizes strong written and verbal communication skills, attention to detail and follow through in a high performing, direct communication culture.

Essential Job Functions:

  • Manage calendar, including appointment scheduling, daily workflow coordination, communication with appropriate personnel.
  • Initiate and draft executive correspondence, speeches, memoranda, reports, etc.
  • Prepare presentations, financial and operational documents.
  • Work proactively and take initiative to support the varying needs of the team.
  • Maintain an organized system of tracking, monitoring and prioritizing tasks and projects.
  • Proactively anticipate and react to: required materials for meetings, priority issues; necessary scheduling changes; and necessary research needs.
  • Schedule and plan for events, such as meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials.
  • Facilitate communication between executives inside and outside the organization. Be a point of contact and resource.
  • Sort, distribute, prioritize, and monitor executive mail.
  • Coordinate domestic and international travel itineraries and related arrangements.
  • Responsible and accountable for carrying out the requirements of the company’s quality system.

Knowledge and Experience:

  • Associate’s degree or equivalent experience.
  • Previous experience supporting executives is required, with 5+ years’ experience supporting senior-level executives.
  • Expert level technical skills with Microsoft Office tools, Word, PowerPoint and Excel.
  • Experience with off-site meeting/event planning and coordination.
  • Experience with domestic and international travel coordination.
