Executive Assistant
Cohen-Esrey develops and invests in market-rate and affordable housing solutions. We are seeking an experienced executive assistant who enjoys a lot of variety! We would love to have someone with real estate and/or legal experience but would certainly train the right person. The position includes things like marketing support, working with social media and photographers, creating new entities for all business units, assisting with property closings, and backing up the Office Manager.

Officer
Accountable for:
- Assisting with closings for CEO/Chairman-owned properties
- Coordinating execution of 8879’s and distribution of K-1s
- Creating and maintaining legal tracking system
- Maintaining Entity Tracking System
- Filing new EINs and maintaining the Tax ID spreadsheet
- Creating and maintaining entities including filing annual reports
- Coordinating closings including paperwork for CEO- and Chairman-owned properties
- Tracking and submitting real estate license renewals, new licenses and transfers
- Preparing/formatting People & Properties for release
- Coordinating completion of credit card expense reports for each executive
- Collecting anniversary letter information and supplying to CEO
- Sending overnight packages and scheduling courier services
Role: General Administrative Support
Accountable for:
- Providing backup support for office management functions such as supply ordering and facilities maintenance requests
- Providing backup support for reception
- Providing Notary services
Role: Administrative Support for iiM, LLC
Accountable for:
- Collecting and archiving iiM investor documentation
- Assisting with iiM investor meetings
- Preparing subscription agreement packets for new investments
- Uploading iiM documents into Seraf software including quarterly reports, closing documents, term sheets, press releases
- Tracking receipt of documents and funds for new investments
- Maintaining the iiM investor meeting attendance tracker
Role: Administrative Support for Marketing
Accountable for:
- Creating photoboard artwork for CEAI/CEDG properties and sending them to press
- Shipping marketing materials to properties
- Managing property Internet Listing Services (ILS) contracts, tracking end dates and renewals, keeping contract section in Knet up to date
- Ensuring that RealPage Marketing Center syndication settings match the various ILS accounts and content flows to ILS sites
- Managing Tawk to Chat settings for each property and setting up new properties
- Completing property syndication workbook for each new property
- Scheduling property photo shoots with PMS and photographers
- Ensuring property sites are prepared for photo shoots using photo prep checklist
- Proofread all marketing materials for content, grammar, spelling
- Processing marketing invoices
- Completing LeaseLabs intake spreadsheet and uploading photos and floorplans for new properties
- Creating or transferring FaceBook pages for each new property
