The Opportunity
By building strong relationships with the executives and team members at Adobe, you’ll be a major contributor in the Digital Experience Design Organization. Your role will complement and support the leaders for our team’s overarching goals and objectives. You will encounter a changing environment, schedules, and demands but with the support and partnership of other executive assistants you will forge bonds of camaraderie in a positive environment.
Required attributes include the desire to establish relationships, a strong willingness to help and support, and ability to be decisive and thrive in a fast-paced, evolving environment. Key responsibilities include diverse administrative tasks and coordinating special projects as outlined below.
Organize senior leadership and department communications
Organize quarterly all hands meetings and semi-annual team
building events.
Compile and publish weekly senior staff minutes and group
updates.
Maintain up to date organizational charts, contact lists and email
alias lists.
Extensive executive calendar management for VP and Senior Directors
Seamlessly own calendar and travel for VP and Senior Directors to help drive maximum effectiveness, all while coordinating complex travel arrangements and successfully handling last minute changes.
Regularly working with cross-functional C-level EAs.
Coordinate reoccurring meetings for managers and cross-functional partners.
Manage staff meetings and commitments
Coordinate all arrangements for seminars, workshops, and meetings.
Coordinate special projects including team offsite, team building activities and all hands meetings.
Coordinate special projects and large meetings with internal and external individuals
Arrange job candidate interviews and ensure we have smooth transitions for all new hires by obtaining office space, computer systems and accounts and managing all related work requests.
Administrative coordination
Team space planning and floor moves, and potentially other types of projects
Process forms including expense reports, change of status, employment requisitions, contractor time cards and IS and facilities work requests.
Submit and maintain expense and travel reports for VP
Work with vendors and project managers to ensure billing occurs in timely manner and that project scope changes are considered and accounted for.
Prepare, process, and track purchase order requisitions and recommend purchases of office supplies.
Align with Adobe policies and procedures and apply Adobe Contracts Management system for all departmental purchases. What you need to succeed
BA/BS degree preferred
4-6 years’ administrative experience for executive leadership
Proactivity in a fast-paced, changing global environment
Positive, can-do attitude even in stressful situations
Desire to constantly look for opportunities to create systems, checklists, and approaches to make things run more smoothly.
Willingness to follow through and do what it takes to get the job done
Clear and concise communication
Strong discernment and eloquent communicator

Excellent written and interpersonal communication skills
Ability to interact with all levels of internal and external contacts with diplomacy and professionalism
Must handle confidential information with integrity and exercise discretion
Proven mastery of MS Office applications including Outlook, Word, PowerPoint and Excel.
Willingness to learn additional tools including AirTable, Confluence, Trello, Workfront and others
Resourcefulness: Ability to find creative solutions independently
Eagerness to network with other executive assistants at Adobe and participate as a worldwide team
Ability to travel occasionally to provide on-site support at events/conferences

Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $68,800 -- $146,000 annually. Pay within this range varies by work location and may also depend on job-related knowledge, skills, and experience. At Adobe, for sales roles starting salaries are expressed as total target compensation (TTC = base + commission), and short-term incentives are in the form of sales commission plans. Non-sales roles starting salaries are expressed as base salary and short-term incentives are in the form of the Annual Incentive Plan (AIP).
In addition, certain roles may be eligible for long-term incentives in the form of a new hire equity award.
