Executive Administrative Assistant Job at STP
Our client is seeking a top-notch Senior Executive Administrative Assistant supporting a C-suite executive for a fast-growing organization. The ideal candidate will have proven experience supporting senior leaders with large organizations, tracking deliverables, priorities, and essential follow-up on behalf of the senior leader. They are required to have exceptional travel planning, calendar management, organizational skills, and a strong presence in all communication types. They need to be highly resilient and adaptable to constantly changing business priorities. They need to be proactive, have meticulous attention to detail and execution of all responsibilities, strong judgment, and decision making, and be highly proactive/forward planning.
In addition to traditional administrative support, they will also need to assist in planning and leading large events, Town Halls, and other activities. Demonstrated experience in financial services and project management is preferred. The candidate must diplomatically represent the senior leader at all levels of the corporate hierarchy which includes interacting with various executive-level clients and internal constituents across all lines of business. Superior interpersonal and communication skills are required.
Basic presentation skills and intermediate fluency in Microsoft Office are required.
Administrative Execution:
- Foundational responsibilities: Gatekeeper of all contact with the public, clients, and staff, management of extensive and complex calendar for Senior Executives in a fast paced and dynamic environment, scheduling demanding internal and external meetings; adjust and prioritize last-minute changes including logistics such as conference rooms, events, and catering, etc.
- Travel and Expense policy and management: Offer guidance on policy matters, handle requirements such as Business Travel Tax, plan complex travel, manage ticket planning and distribution, etc.
- Provide site support for local office requirements including assistance with new hire integration, facilities maintenance, supplies, floor access, etc.
- Partner with local Admin colleagues to collaborate on in office schedules and phone coverage and share all in office responsibilities regardless of LOB to ensure Monday through Friday in office coverage for your worksite.
- Provide data analysis and reporting for the business such as canned reports and scorecards
- Provide robust execution of all Catalyst activity within the scope of the role -account changes, contact maintenance, etc.
- Support local employee engagement activities such as team recognition, events, etc.
- Serve as a role model to the broader CB BSM staff providing support for execution of platform projects and needs
Communications, Event Planning and Project Management:
- Manage organization, planning, and execution of all local event activity in partnership with key constituents
- Follow marketing requirements and ensure adherence to best practices
- Maintain reporting in Confluence, MarCom, etc.
- Ensure sponsorship activity linked to events is processed in accordance with policy
- Plan complex market visits and roadshows.
- Manage LOB projects as required
Primary Responsibilities:
The ideal candidate will possess the following:
- 5+ years of senior level administrative support experience preferably in a fast paced and growing environments.
- Bachelor's degree required or equivalent
- A Strong EQ (emotional intelligence) to help navigate through internal politics, partner with other peers and promote a healthy and productive environment
- A strong track record in successful relationship building and people, business, and project leadership at both a local and regional level.
- Exceptional communication skills- confident, organized, and clear. Strong executive presence and can effectively interact with all organizational levels.
- Strong presentations skills and intermediate fluency in Microsoft Office Suite
- Exceptional judgment, proactive, decision making and problem solving
- Exceptional interpersonal skills and partnership mentality- confident, demonstrates self-motivation, personal leadership, is highly collaborative and team oriented
- Proficiency- Advanced Outlook/ intermediate in MS Suite
- Demonstrates strong organizational skills and applies a disciplined and organized approach to their work
- Strong analytical skills and critical thinking. Intermediate proficiency in data analysis and creating meaningful reporting
- Adapts easily to process changes and learns new technologies quickly
Job Type: Full-time
Pay: $100,000.00 - $130,000.00 per year
