EVENT COORDINATOR Job at County of Greenville
Promotes the use of camp and retreat center: schedules and coordinates private rentals; monitors event calendar, available space and dates, pending and signed contracts, and related activities; conducts facility tours; verifies agreements with clients; and provides onsite management, technical expertise, advice, and direction.
Coordinates camp use: maintains master calendar; schedules rentals; processes booking and payment documentation and payments; creates and updates invoices and payment plans; receives and documents payments; enters reservations into computer systems; and maintains related documentation.
Coordinates event and retreat activities: prepares and distributes event and retreat documentation to camp staff; monitors event activities to ensure safety and smooth operation of camp staff and facilities; monitors facility and restrooms during functions; troubleshoots questions and problems during event; makes recommendations for resolutions; responds to emergencies, accidents and injuries during events; monitors tear down and clean up after events; and conducts assessment and evaluation of events.
Assists with accreditation activities and processes: serves as a liaison to the American Camp Association (ACA); creates, prepares and updates documentation for review by ACA ad other accrediting bodies; monitors and ensures compliance with ACA standards and guidelines; and updates camp staff on changes to ACA standards and guidelines.
Assists with camp operations: assists with food prep, storage and clean-up; assists with leading program activities; cleans facility and grounds; sets-up lodging, meeting space, dining hall and program areas prior to events and activities; assists with building maintenance; and facilitates and/or attends meetings to discuss and prepare for upcoming events and activities.
Coordinates audio-visual activities and equipment: organizes and maintains audio-visual equipment closets and storage; installs, inspects, repairs and replaces equipment; creates videos; posts videos and pictures to social media sites; and maintains and organizes media files.
Leads and coordinates daily work activities of assigned staff: confers with supervisor to obtain direction regarding work assignments and priorities; creates and distributes work schedules; organizes tasks in order to complete assigned work; monitors status of work in progress and inspects completed work; confers with co-workers; assists with complex/problem situations and provides technical expertise; assists with training and instructing co-workers regarding operational procedures and proper use of equipment; and assists with supervision of co-workers by reporting employee problems and providing input on disciplinary action and employee performance evaluations.
Minimum Qualifications:
Associate degree in Outdoor Recreation, Recreation Programming, Public Relations, or a related field required; supplemented by two years of experience in implementing events and outdoor programs; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Special License(s) or Certification(s) Required: Must possess and maintain a valid South Carolina driver's license.
