General Position Description

The Estimating Coordinator is responsible for ensuring the estimating and procurement teams are updated with current data and facilitate Subcontractor outreach. This role assists Project Coordinators in entering all subcontracts, purchase orders and change orders into the ERP system, sent to the subs and vendors, and ensuring these documents are signed and returned. The role is also responsible for ensuring the appropriate documentation is in place and submitted to the client for accurate and timely proposal submission.

Heavy focus on construction of military buildings, building renovations with secure spaces, hangar buildings/aircraft support spaces, maintenance facilities, operations facilities, and mission critical environments.

The Estimating Coordinator is responsible for the coordination of bid documents, bonding applications, receipt and filing of subcontractor and vendor pricing, properly filing post bid material, assisting coordinating subcontractors and vendors prequalification statements.


Responsibilities

  • Assists the Estimating Management team in processing and tracking subcontractor lists, invitations to bid, bidding documents for distribution, subcontract agreements, and purchase orders.
  • Prepare and submit Bonding worksheet to bonding company for certificates to be submitted with proposals.
  • Ensures the Estimating team and Subcontracting Community has current documents for bidding.
  • Notify team of all project deadlines, log and submit all Requests for Information (RFI s) as required.
  • Notify Estimators of Subcontractor bids received.
  • Maintains a comprehensive and orderly estimating file system. Ensures the team adheres to the filing process.
  • Ensures all documentation is clear, concise, and accurate so all departments and employees can reliably use this information.
  • Assists the Proposal Coordinator with the execution of required documentation for proper proposal submission.
  • Maintain Estimating schedule and make modifications to the PowerBI report as required.
  • Post Bid, Update Building Connected with Subcontractor bid data.
  • Assist team with collecting Subcontractor data for procurement activities.
  • Other activities, duties, and responsibilities as assigned.
  • Maintain Estimate Data Base.

Qualifications

  • For Security Clearance Requirements – must be a US Citizen, as required.
  • Experience using Autodesk s Building Connected and TradeTapp websites a plus
  • Experience with construction software solutions such as Bluebeam for renaming and marking up drawings a plus
  • Excellent teamwork, communication and people skills a must.
  • Has a solid time management system and demonstrates excellent organizational skills.
  • Excellent proficiency in MS Office products (primarily Word, Excel, Teams, Vizio, and PowerPoint).
