The Henrico Education Foundation (HEF) is seeking an Educational Finance Coordinator to support the foundation’s financial and accounting needs. HEF is the largest education foundation in the Commonwealth of Virginia and a national leader in the educational foundation sector. The foundation is in a growth mode and is building the staff to magnify impact for more than 49,000 Henrico public school students.
The Finance Coordinator will be responsible for ensuring accurate and timely processing of invoices, grant disbursements and scholarship payments. Financial records management, collating financial data and recording relevant financial transactions will be part of the daily duties for this position, together with some general administrative tasks.
This position will report directly to the Controller but will have a close working relationship with program and fundraising staff as well as the executive leadership team.
Duties and Responsibilities:
- Make deposits and generates receipts as needed;
- Prepare materials for audit and consult with auditors as requested;
- Prepare financial reports, scholarship billings and aging receivables reports;
- Accounts payable – enter checks, issue payments for invoices and volunteer/staff reimbursements with expenditures appropriately categorized in chart of accounts and class codes;
- Accounts receivable – issue invoices, bill for services and send pledge reminders to donors;
- Process childcare subsidy billings, enter tuition billings and grant reimbursements;
- Obtain W9s from vendors; prepare 1099s;
- Enter expenses in OMEGA for VDOE Funding and process payments for Federal, State and local grants including entries in relevant agency reimbursement systems;
- Reconcile monthly business credit card;
- Maintain highly organized filing system; invoices/reimbursements, payroll, insurance information, reconciliations, and other financial records;
- Assist Controller and staff in preparing annual budgets and enter annual budget in Aplos;
- Provide analysis and reporting from programs, grant reporting and for fundraising campaigns;
- Process field trip assistance and tuition assistance applications and payments;
- Collect data, create reports and assist with preliminary online grant applications;
- Provides support to partners using the Auzmor training platform
- Actively participate as a positive member of the HEF team, meeting or exceeding team standards, including but not limited to the following:
- Contribute willingly to every “all hands” project including special events, annual report, donor mailings, and development marketing and PR materials etc.
- Attend and contribute to all staff meetings and other foundation events.
- Assist program staff with scholarships, reporting and grant administration.
- Respectfully accommodate colleagues’ requests
- Screens visitors, calls, and mail for direction to appropriate recipients or staff person;
- Understands and adheres to all Foundation policies and procedures and handles confidential assignments.
- Performs other duties as assigned.
Requirements
Qualifications
- Associate degree or equivalent experience;
- 2+ years of experience in accounting with DSS and/or childcare software with accounts payable, and accounts receivable, experience;
- Knowledge and experience with Aplos account is a plus;
- High competency in the use of Excel and strong computer skills and knowledge of MS Word, Power point and Outlook.

Benefits
- Job Type: Full Time – 40 hours per week.
- Reports to: Controller
- Salary: $46,000 - $52,000 - competitive, commensurate with experience and other qualifications.
